The international team of FIGHT KIDS CANCER is looking for an enthusiastic Administrative, financial and communication assistant who coordinates actions, takes initiative, and knows how to create content that resonates and inspires action. We are seeking an organised and detail-oriented professional to provide administrative, financial, and communications support to our Scientific Project Manager. This role is the organisational heart of the organisation. You keep things sharp and clear, communicate effectively internally and externally, and make sure everything runs smoothly. No two days are the same — and that suits you perfectly.
Key Responsibilities
Administrative and Logistic Support:
· Coordinate the organisation’s agenda and meetings
· Organise the in-person meetings, including travel needs (hotels, meeting rooms, restaurant & catering)
· Support the Scientific Project Manager in the grant cycle timelines management and other administrative tasks
· Preparation of Grant Agreements and tracking the input from the research institutions
Financial Support
· Assist with budget tracking and grant fund management
· Collect financial forms, invoices, and reimbursement requests
· Coordinate with financial institutions to ensure smooth transaction processing
· Prepare accounting entries in the Odoo program
· Maintain accurate financial records and spreadsheets
· Provide support in preparation of financial reports and summaries
· Monitor budget allocations against actual spending
· Monitor cash flow planning and ensure timely communication with the external investment manager
· Coordinate the tasks around the preparation of the annual accounts and questions raised by the external auditor
· Ensure the organisation is compliant with legal, tax and regulatory requirements
Communication & Digital Presence
· Organisation website: post updates and assist in development of new sections
· Social media: manage the organisation LinkedIn account (and possibly more in the future)
Required Qualifications
· Completed a higher level of education degree
· At least 3 years of experience in a similar position
· Ability and willingness to travel within European countries
· Technical skills:
o Proficiency in Microsoft Office (Word, Excel, Outlook)
o Familiarity with financial tracking or accounting systems
o Experience with Odoo is a plus
o Experience with website content management and social media platforms
o Graphic design or visual content skills (a plus)
· Languages:
o Advanced-level English (written and spoken)
o Proficiency in one of the Belgian national languages is a plus
· Personal qualities:
o Strong organisational and time management skills
o Excellent written and verbal communication
o Ability to handle confidential information with discretion
o Punctuality

· Home working possible two days a week.
· A full-time position (39 hours/week).
