Job Description


As an Executive Assistant, you will support a core group of senior leaders, including the CFO, the Secretary-General, and several members of the Sr Management Team within the Finance Department.
If you are fluent in Dutch, French and English and if you have experience in a similar position then this could be your next step!

Your Key Responsibilities as an Executive Assistant

Calendar & Meeting Coordination

* Proactive agenda management for the leadership team.
* Scheduling and coordinating internal and external meetings, including quarterly reviews, budget meetings, Finance Days, team buildings, etc.
* Managing leave approvals and ensuring agendas are updated accordingly.

Travel & Logistics

* Travel coordination (flights, accommodation, transport) with the assistance of the travel team.
* Welcoming visitors, preparing meeting rooms, serving refreshments, and ensuring technical readiness (e.g., Teams setup).

Administrative Support

* Preparing, formatting, and finalizing documents and presentations (Word, PowerPoint).
* Managing expense approvals and signature tracking.
* Translation and proofreading of tax or finance-related documents.
* Supporting the preparation and follow-up of bi-annual objectives for the leadership team.
* Handling various administrative and organizational tasks as needed.
* Team Back-up in case of holidays/absences.

Qualifications

* You hold a bachelor’s degree in an administration-related field or have equivalent experience in an office management role.
* You are fluent (both spoken & written) in French, Dutch, and English.
* You have strong skills in Microsoft Word, Excel, Outlook, and are eager to learn new software tools as needed.
* You can manage shifting priorities, organize your workload effectively, and meet deadlines in a fast-paced, evolving environment.
* You demonstrate initiative and a consistently proactive, service-oriented approach toward both internal and external stakeholders.
* You are willing to learn new skills and take on new responsibilities as required.
* You have a proven track record of delivering work that is timely and precise.
* You communicate effectively, build strong relationships at all levels, and maintain a strong focus on internal customer service.
* You show initiative, flexibility, and strong self-management skills, and you can work independently within a small team.
