Job Overview
This full-time Administrative Assistant role is an exciting opportunity to join our team and contribute to the growth and development of our center. The successful candidate will work closely with the operations manager to oversee day-to-day operations in various areas, including human resources, finance, and event organization.
Responsibilities
* Serve as the primary point of contact for administrative inquiries, providing guidance on procedures, exploring solutions, and coordinating with other services.
* Manage financial transactions, including placing orders, processing supplier invoices, and handling professional costs.
* Collaborate with the operation manager and center group leaders on recruitment processes.
* Maintain accurate and confidential employee records, overseeing personnel files, and communicating with responsible parties as needed.
* Interface with HR officers at host institutions regarding employment, benefits, and other HR-related matters.
* Conduct a range of administrative tasks, including organizing events, managing logistics, and coordinating venue bookings, catering, travel arrangements, and accommodations.
Requirements
* Hold a professional bachelor's degree in a relevant field or have equivalent experience.
* Demonstrate 3-5 years of experience in a similar position or show potential as a driven and eager-to-learn junior who can quickly adapt through self-study and training.
* Be proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint) and familiar with HR and finance software, with knowledge of SAP and financial processes being an added value.
* Show exceptional organizational, management, and analytical skills, with attention to detail and a high level of accuracy.
* Demonstrate strong problem-solving skills, diplomacy, discretion, and a positive attitude, with excellent interpersonal and communication skills.
* Show ability to work independently and collaboratively in a team-oriented environment, with fluency in Dutch and English, both speaking and writing.
