We are recruiting a Assistant Facilities Manager to join the team located on site at our client's clinical research unit. The successful candidate will apply a proactive, results orientated approach to propel the facilities operation to a higher level. If you enjoy helping people and have exceptional communication skills then we would love to hear from you Proactively leading the delivery of all operational activity within 2 buildings through CBRE colleagues and several supply partners. This position is responsible for supporting the Facilities Manager by; creating, sustaining, and delivering all facility management services to the site occupants and client, ensuring QHSE, Finance, statutory, operational and commercial compliance. Demonstrating a detailed understanding of service standards and key deliverables in line with Contract, SLA / KPI and ensure that workplace team's understanding is aligned. To proactively support and deliver a collaborative one-team and co-operative environment across the site team. Manage, motivate and develop reporting staff through effective induction, training and development and annual appraisals. Drives designated team to operate in a pro-active manner to anticipate customer needs and demonstrate a 'can-do' attitude. The post holder will always be a highly visible presence and the initial point of escalation for all building- based occupants and site users / visitors. A good level of written and verbal English /French is required and Flemish is a plus Key Tasks: - Customer Service: Supporting FM, to build and maintain positive relationships by establishing liaison with site customers to ensure an awareness of the team's contact details for urgent requests, including being the initial interface for key business contacts at the assigned site. Portray a confident and efficient delivery of day-to-day delivery of FM services - Operations: Deliver in-scope services to include coordinating with suppliers to deliver services at site within SLA. Support the implementation of continuous improvement activities and initiatives - Participate in effective supplier KPI review meetings and prepare information to be rendered in the KPIs and BUG meetings - Coordinate and participate in workplace moves and changes within the office space area, including porterage requests - QHSE Quality, Health & Safety and Environment: Support the FM in ensuring that all QHSE requirements are in place at site/s within remit. Through regular workplace inspections review office spaces paying special attention to any QHSE issues and checking meeting rooms, providing first fix audio-visual assistance. Report all incidents, occupational illnesses and emergencies. Preparing incident reports. Ensure all contractors in sphere of control operate within QHSE processes and standards. Adhere to and promote working to the companies QHSE policy - CMMS: Responsible for the management of the ServiceInsight work order system, ensuring requests and resultant action is assigned is acted upon within the KPI targets - Reporting: Prepare reports and analyse the results based on data. Maintain monthly performance measurement information in support of contract performance requirements. Ensure adherence to CBRE and client procedures and processes - People: Manage direct reporting staff, and lead building facilities teams and supply partners at the assigned building(s) to deliver a one team, customer focused service solution - Other: Assist with cover and other requested duties across the site as required by the SFM. Support the FM in remote tasks related to other sites e.g. Brussels La Plaine site. Other tasks that are requested and are directly or indirectly related to the role Education High School Diploma - IOSH or equivalent H&S training (preferable) - Possess a FM qualification or equivalent - (NVQ Level 3-4) or similar Skills - Good written and verbal communication skills in English, French, Flemish is a plus. - Proficient in IT written inc Teams / Excel - A pro-active self-starter individual, willing to accept additional responsibility. - Excellent client relationship management and managing stakeholders. - Ability to react and solve problems - Proactively managing customer relationships. - Developing personnel resources and focus on self-development. - Demonstrates excellent understanding of customer needs. - Excellent written and verbal communication skills in English, French & Dutch - Experience in contract management and measurement - Working in a life sciences environment - Experience of laboratory equipment or environments - Change management experience - Ability to influence a number of stakeholders with conflicting priorities and demands Experience - 2-5 years' experience in a facilities supervisory role or related service environment Aptitude - Exhibit key skills in customer service - Good listener and customer service attitude - Strong communications skills (verbal and written) - Excellent influencing skills - Good problem solving ability Core Competencies A competent assistant facilities manager able to deputise and lead the facilities management services operation to a high standard with safety at the forefront of their actions.
