About the Role
We are seeking a highly organized and detail-oriented External Research Coordinator to provide operational and administrative support within a Medical Affairs team. This role plays a key part in enabling the compliant and efficient execution of externally sponsored research activities, including investigator-initiated studies and research collaborations. The successful candidate will coordinate workflows, maintain accurate documentation, support cross-functional processes and help ensure research requests progress smoothly through established systems and governance frameworks. This position is operational in nature and focuses on execution excellence rather than strategy ownership or leadership responsibilities.

Key Responsibilities:
Operational & Administrative Support
* Serve as a central administrative point of contact for internal and external stakeholders
* Support end-to-end operational management of external research opportunities through internal tracking systems
* Intake, log, and monitor investigator-initiated study (IIS) and research collaboration requests
* Coordinate review workflows and route submissions to appropriate reviewers
* Ensure documentation completeness and adherence to timelines
* Maintain accurate and up-to-date records across systems, trackers, and repositories
Process & Coordination
* Coordinate contracting activities, including gathering inputs and tracking approvals with Legal, Compliance and Procurement teams
* Support payment processing, reconciliation and study close-out activities in collaboration with Finance
* Prepare operational summaries, reports and dashboards to support oversight and audit readiness
* Assist with implementation of approved process updates and system enhancements
Collaboration & Support
* Work closely with cross-functional stakeholders to ensure smooth operational execution
* Support ad-hoc operational initiatives and administrative projects as required
* Contribute to a collaborative and compliant working environment aligned with organizational policies and procedures
Requirements:
Education & Experience
* Bachelor’s degree or equivalent professional experience
* Experience in an administrative, operational or coordination role (pharmaceutical or healthcare industry preferred)
* Exposure to Medical Affairs, R&D or external research collaborations is advantageous but not required
* Familiarity with document management systems or workflow tools in regulated environments is desirable
