TITLE: Grants Manager

AREA: Programs

STATUS: Full time - Salary

CLASIFICATION (FLSA): Exempt

GENERAL DESCRIPTION: Ensures the effective and compliant implementation of programs and services funded through public and private grants, in alignment with grant agreements, Boys & Girls Clubs of Puerto Rico (BGCPR) policies, and regulatory requirements. This role safeguards organizational compliance, promotes high-quality program execution, and supports continuous improvement through strategic data organization, analysis, and reporting. Collaborates closely with programmatic and fiscal leadership to monitor grant compliance, develop budgets, create amendments, and address potential risks. Additionally, the position supports grant development by contributing data analysis, needs assessments, and evidence-based insights that align proposed funding with BGCPR's program pillars and strategic priorities.

TASKS AND ESSENTIAL JOB RESPONSIBILITIES:

1. Monitor and ensure compliance with grant agreements, funding guidelines, and reporting requirements; assess the quality and effectiveness of grant-funded program execution.

2. Ensure proper utilization of grant funds in coordination with internal controls and approved budgets.

3. Oversee required documentation, including participant records, agreements, reports, and supporting evidence, in compliance with grantor and internal requirements.

4. Ensure compliance with local, state, and federal regulations (including but not limited to 2 CFR Part 200 – Uniform Guidance) and BGCPR policies and procedures.

5. Manage external audits, monitoring visits, and formal communications with grantor agencies and stakeholders.

6. Collaborate in the development of grant budgets, budget revisions, and grant amendments, ensuring alignment with program design and funder requirements.

7. Monitor budget performance and elevate potential financial compliance risks or discrepancies to leadership.

8. Conduct regular site visits to Clubs to monitor program implementation, evaluate service quality, and verify alignment with approved grant activities and outcomes.

9. Identify and elevate red flags related to program performance, compliance, or organizational results, proposing corrective actions when necessary.

10. Collect, analyze, and interpret quantitative and qualitative data to support grant applications, program design, and continuous improvement efforts.

11. Apply analytical frameworks and sources such as PESTELE analyses, Voice of the Customer, government statistics, and community indicators to inform programmatic decisions.

12. Develop and deliver high-quality reports, dashboards, visualizations, and presentations to ensure transparency, accountability, and compelling programmatic narratives for internal and external stakeholders.

13. Work collaboratively with the Program Staff to manage, document, and track program pillar outcomes and performance indicators.

14. Contribute to grant development efforts by providing data, outcomes analysis, and compliance guidance aligned with organizational strategy.

15. Perform other related duties as assigned by the supervisor.

EXPERIENCE, EDUCATION, SKILLS & KNOWLEDGE REQUIRED:

· Bachelor's degree in computer information services, Business Administration, Nonprofit Management, Social Sciences, or a related field required.

· Minimum of one (1) year of experience in grant management, program compliance, project management, or nonprofit program administration.

· Proven success with competitive grants (government and foundation), including budgets and compliance.

· Experience collaborating with programmatic and fiscal teams.

· Experience in youth-serving, educational, or community-based organizations strongly preferred.

· Strong knowledge of grant management lifecycle, compliance monitoring, and reporting.

· Familiarity with 2 CFR Part 200 (Uniform Guidance) and other applicable regulations.

· Ability to develop clear, accurate, and compelling written reports and presentations.

· Proficiency in data management, analysis, and reporting tools (e.g., spreadsheets, dashboards, visualization platforms).

· Ability to identify risks, trends, and improvement opportunities based on data and field observations.

· Excellent organizational skills with the ability to manage multiple grants, deadlines, and compliance requirements simultaneously.

· Excellent written and verbal communication skills in Spanish; English proficiency required.

· Ability to communicate effectively with internal teams, funders, auditors, and external stakeholders.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:

· May require sitting, standing, and walking throughout the day.

· Willingness to travel regularly to Club locations across Puerto Rico.

· Occasional lifting (up to 15 pounds) and reaching above/below shoulder level

· Must use proper lifting techniques
