Description:

Duties and Responsibilities
* Schedule meetings, prepare agendas, reports, and presentations for board, committee and working party meetings. Coordinate with all attendees.
* Facilitate meetings, capturing action items and decisions. Manage post-meeting activities such as distributing minutes, tracking all action items and following up on outstanding items.
* Provide administrative support, including scheduling, travel arrangements, and expense management.
* Support with managing administration for corporate partnership deals and sponsorship agreements.
* Track and manage the administration of grants and awards.
* Maintain governance documents, policies, and other relevant materials in a centralised repository.
* Assist with the planning and execution of association events, programs, and projects.
* Liaise with volunteer groups and committees and provide them with guidance, resources, and feedback.
* Handle inquiries from members, partners, and the public and direct them to the appropriate person or department.
* Organise and maintain files, records, and databases.

Profil

Your profile
* Eligible to work in the EU.
* At least 2 years' experience in an administrative or support role, preferably in a non-profit or association setting.
* Fluent in English (verbal and written level C1), Knowledge of another language is an asset.
* Proficient in the Microsoft Office package, Google Suite, and other web-based tools.
* Ability to work independently and collaboratively with a diverse team.
* Strong organisational, time management, and problem-solving skills, with the ability to prioritise and multitask.
* You are flexible, agile and committed especially in busy periods.
* Knowledge of and interest in the association's field and mission.
* Willingness to travel abroad for certain meetings and events.
* Available to join the team rapidly.
