Reports to: Senior District Operations Specialist / District Administrative Coordinator
Location: BeNeLux – combination of telework and in branch is possible
Position Summary
As a District Operations Specialist your primary role is to provide an all-round internal customer experience. You will closely collaborate with our Regional Directors and Business Support Managers II, provide proactive communications and conduct supporting administration.
Principal accountabilities and duties:
Activities for this position may include, but are not limited to, some or all of the following:
Meetings & Events & Incentives
* A-Z assistance on BeNeLux meetings and events
* Review rankings of international sales incentives
* Collaboration with regional teams on sales incentives and regional meetings
* Coordinate national competitions
* Book travel
* Proactive approach on recurring internal projects such as charity campaigns
* Organization of special celebration days including logistics of gifts i.e Christmas
* Prepare visuals for internal and external posts of events and meetings
Communication
* Responsible for drafting internal communications for Directors
* Validate translations
* Provide the necessary information needed for regional communication
* Set up and assist on BeNeLux call invitations in MS Teams or Zoom
Administration
* Handle highly confidential information
* Administrate purchase orders
* Act as primary support to the District Office Team
* Monitor motivational budgets
* Create PowerPoint presentations
* Assist the Directors team with administration such as expense management
* Update information in MS Teams/OneNote for Directors
* Assist in ad-hoc projects as requested
* Manage subscriptions and memberships
Profile
* Bachelor's degree or equivalent experience
* Preferably some administrative work experience
* Broad knowledge of MS products, esp Excel, Word and PowerPoint
* Strong organisation and communication skills with ability to prioritize work
* Motivated by a fast-paced office environment
* Solution orientated, can-do mentality
* Relationship builder, tactful
* Team player but also able to work autonomously
* Able to adapt quickly to a changing environment
* Good knowledge ENG/DU/FR
