Role Introduction:
Join our Belgian team in Hasselt and play a key role in supporting high-profile international clients within the high-tech and pharmaceutical sectors.
This client centric role combines hands-on daily management, execution, strategic thinking, proactive communication, and a continuous drive to optimize processes, client experience, and program performance. You will coordinate end-to-end digital, print, fulfillment, and logistics programs, including vendor management, warehousing, inventory, packing, shipping, and global delivery operations.

Key Responsibilities :
Program & Client Coordination
* Act as the day-to-day operational lead for assigned client programs
* Coordinate all client touchpoints (emails, tickets, calls) in a timely and professional manner
* Facilitate collaboration across internal departments and third-party vendors
* Support the account management teams with their daily client management activities where needed
* Coordinate ongoing program deliverables, reports, meeting notes, and documentation of/updating of project procedures
* Participate in weekly client calls and quarterly business reviews
Project Implementation
* Take ownership of project implementations from initial planning and client alignment through execution, go-live, and post-implementation optimization
* Maintain clear and structured implementation documentation, process flows, and operational procedures
* Continuously evaluate implemented processes and identify opportunities for further optimization, efficiency improvements, and enhanced client experience
* Ensure operational readiness and successful handover into daily business operations after project completion
Client Relationship & Quality Coordination
* Help developing trusted relationships with client services teams and key client stakeholders
* Monitor program health and ensure SLAs, KPIs, and quality standards are consistently met
* Drive process improvements and identify opportunities for optimization
* Handle escalations from issue identification to resolution
* Assist in preparing client audits and quarterly business reviews
Reporting & Financial Coordination
* Prepare internal and external reports (daily, weekly, monthly metrics)
* Support monthly invoicing activities with accuracy and timeliness
What You Bring
* Initial successful experience in a similar coordination, operations, or client service role—experience in pharmaceutical, fulfillment, or digital industries is a strong plus
* Strong client-first mindset, focused on understanding client needs and delivering measurable value
* Out‐of‐the‐box mindset to translating client challenges into clear, achievable solutions
* Ability to balance strategic thinking with operational hands‐on delivery to ensure solutions actually work for clients
* Ability to combine creative thinking with practical execution
* Analytical, process driven and critical mindset with a continuous improvement focus
* Comfortable working with figures and data
* Strong organizational, administrative and time management skills to handle various deadlines simultaneously
* Proficient written and verbal communication skills in English and Dutch (any additional language is a plus)
* Comfortable using Microsoft Office Suite (Excel, Outlook, PowerPoint, Word, Teams)
* Ability to communicate effectively with senior stakeholders, external partners and technical teams alike
* Eager to learn and pro-actively take ownership
* Professional Bachelor or university degree preferred
