In order to support the growth, we are currently looking for an Adminsitrative Officer to join our Team in Antwerp and follow up on retrofit activities.

Responsibilities

The Admin Officer (retrofit) is responsible for following up Retrofit Activities and coordinating with OEMs and Sales Administration. Your role includes :

Documentation & Recordkeeping

* Organize and maintain project documentation including permits, contracts, reports, and correspondence ;
* Prepare and format technical reports and compliance forms.

Project Coordination

* Assist with scheduling site visits, meetings, and contractor activities ;
* Track timelines, deliverables, and status updates for retrofit projects ;
* Support procurement activities such as purchase orders, vendor communications, and tracking deliveries.

Communication & Support

* Serve as a point of contact between internal teams and external stakeholders ;
* Coordinate logistics for project meetings and prepare agendas and presentations ;
* Monitor and respond to administrative emails related to project updates.

Compliance & Reporting

* Ensure all required documentation complies with regulatory and company standards ;
* Help compile data for all kind of reports.

Budget & Invoice Support

* Assist in tracking budgets and expenses ;
* Process and track invoices, work orders, and change requests in collaboration with the finance team.

Profile

* Typically a Bachelor Degree in Transport & Logistics, International Business Administration or equivalent through experience
* Ideally 3 to 5 years of related experience
* Language: French, Dutch and English is a plus
* Proficiency in MS Office
