About the Role
We’re looking for an Administrative Assistant to join our team in Barcelona. This is a hybrid and autonomous position, ideal for someone proactive, organized, and detail-oriented. You’ll work closely with our Finance department and report directly to the CEO, providing essential administrative support across the company.
Main Responsibilities
* Monitor payments to clients and suppliers.
* Attend to and resolve inquiries from management and departments effectively and professionally.
* Manage complaints and resolve issues related to banks or administration.
* Coordinate with suppliers and external services.
* Manage direct debit payments.
* Prepare reports on outstanding collections and payments for management and the finance department.
* Perform bank reconciliations.
* Coordinate with other departments to ensure the correct management of payments and collections.
* Perform general administrative tasks such as filing, document organization, and drafting communications.
Requirements
* Ability to organize and manage multiple tasks.
* Basic knowledge of collection management and customer service.
* Verbal and written communication skills in Spanish and English (French is a plus).
* Strong organizational skills and attention to detail.
* Proficiency in Microsoft Office (especially Excel).
* Proactive attitude and focus on conflict resolution.
Valued Skills
* University degree (preferred but not mandatory).
* Experience dealing with clients, administration, and conflict resolution.
