Within the Software team, you will be responsible for managing and monitoring framework contracts, budgets, purchasing, and the quality of software activities. You will also serve as the primary point of contact for all non-technical software-related needs.
Your Responsibilities:
1. Contract Management: Oversee ten multi-year framework contracts, ensuring timely extensions or renewals. Act as the Single Point of Contact (SPOC) for various YPTO and NMBS teams regarding these contracts.
2. Budget Oversight: Monitor and report on contract budget consumption, identifying trends and implementing actions for optimal budget management. Serve as the point of contact for the Controlling and Finance departments.
3. Software Procurement: Manage the purchasing and renewal of software using monitoring tools. This includes requesting quotes, creating and validating purchase orders, and managing the software renewal schedule.
4. Software Governance: Supervise the Software Approval Board, which assesses requests for new, non-standard software for NMBS.
5. Software Catalog Management: Maintain and update the NMBS software catalog, ensuring complete documentation for user accessibility.
6. Knowledge Management: Contribute to writing "knowledge base" articles for YPTO and NMBS colleagues, focusing on internal procedures and best practices related to software.
7. Information Portal: Help develop and maintain an "all public" information portal on the Software team's activities, ensuring up-to-date knowledge for internal customers.
8. Request Handling: Address incoming simple requests via email or ServiceNow, providing prompt and/or structural solutions.
9. Process Improvement: Assist the Coordinator in setting up processes to automate repetitive tasks.
10. Support to implement, configure, and maintain the ServiceNow Software Asset Management (SAM) platform
11. Work with IT teams to manage software assets efficiently and ensure licensing compliance
12. Set up custom SaaS licensing usage integrations and reclamation
13. Maintain and optimize the SAM platform for accurate license tracking and compliance
14. Collaborate with IT and procurement for software inventory and lifecycle management
15. Develop and enforce SAM policies and procedures
16. Provide SAM platform training and support to end-users
17. Stay updated on SAM trends and ServiceNow features
18. Generate reports and insights on software utilization and compliance

19. At least a bachelor's degree or equivalent through experience
20. At least 3 years of recent relevant experience in Software Asset Management
21. Knowledge of/experience with:

26. Strong understanding of IT asset management and software licensing
