Purpose of the Position
The HR Management Assistant focuses primarily on organizing social dialogue activities and provides administrative and organizational support to the Head of Social Relations and the HR Business Partners.
Your Tasks
1. Support to Industrial Relations and Health, Safety & Environment Department
2. Prepare union meetings (Works Council, Health & Safety Committee, Union Delegations)
3. Draft meeting minutes and ensure timely publication on the intranet
4. Ensure accurate follow-up of action points from union meetings
5. Prepare and send out the annual calendar of union meetings to all stakeholders
6. Collect agenda items from unions for monthly meetings and follow up on preparation by management
7. Ensure timely signature of Collective Labor Agreements (CLAs) by all parties
8. Register CLAs with the Federal Public Service Employment (FOD WASO) in a timely and accurate manner, follow up and ensure publication on the intranet
9. Internally track active/inactive CLAs and manage the CLA archive as part of the digitization project
10. Monitor and coordinate union payments (“syndicale vergoedingen”) to ensure timely and accurate processing
11. Prepare HR-related topics for discussion with union representatives (e.g. CLA104, CLA90) and support the Head of Social Relations where needed
12. Coordinate with planning departments for all union-related activities
13. Provide active administrative support to the Prevention Advisor
14. Manage the internal HR mailbox
15. Manage the agenda of the HR Director and Head of Industrial Relations
16. Internal Communication
17. Prepare and ensure internal communication related to HR updates and maintain the intranet content
18. Support ad hoc or recurring events (social elections, office moves, external events, preparations for social inspections, etc.)
19. Organize ad hoc internal and external meetings
Your Profile
20. Professional bachelor’s degree or equivalent through experience
21. 3 to 5 years of experience in HR or a relevant business support role
22. Fluent in English, French and Dutch – both spoken and written
23. Strong administrative and management assistant skills
24. Proficient in MS Office (Word, Excel, PowerPoint)
25. Knowledge of social law is a plus; interest in the topic is required
