Description:
* Coordinate the creation, approval, and distribution of client updates, newsletters, and internal communications
* Assist with scheduling, travel planning, meeting logistics, and preparation of briefing materials
* Support the organization of events and client activities (invitations, registrations, logistics, materials, staffing, and follow-up)
* Maintain updated contact databases, mailing lists, and distribution records
* Liaise with internal teams to manage professional photos, biographies, and internal announcements
* Prepare reports and assist with tracking office activities, submissions, and ongoing initiatives
* Provide support in maintaining accurate expense records and processing payment requests
* Draft and format correspondence, presentations, and administrative documents
* Coordinate with vendors and manage the inventory of branded gifts and materials
* Perform basic research on individuals, companies, and industry topics as requested
* Assist other departments such as HR, Recruiting, or CSR/Pro Bono on special projects or initiatives
* Ensure smooth day-to-day administrative operations across the Brussels and regional teams
Profil
* Bachelor’s degree minimum
* Excellent written English skills and french
* Proficient in Word, Excel, and PowerPoint
* Experience in marketing or event management preferred
* Familiarity with CRM systems (e.g., InterAction, Salesforce) and marketing tools (e.g., Vuture) is a plus
* Strong organizational skills, attention to detail, and discretion
* Good interpersonal skills and team spirit
* Ability to manage multiple projects and competing priorities

* Open-ended contract to be filled in Brussels - confirmed position (not in London)
* Attractive salary: between €3500 and €4000 gross per month, depending on experience
* No structural teleworking (flexibility possible on a case-by-case basis)
