We are looking for a dynamic and proactive Office manager to manage daily office operations, support HR processes, and organize internal events for our Belgium team. This is a multifaceted role that requires excellent organizational skills, attention to detail, and a hands-on attitude.
Key Responsibilities:
Office Management:
* Manage office supplies, groceries, deliveries, and facility maintenance.
* Manage office spaces and tidyness.
* Coordinate with suppliers, contractors, and building management when needed.
* Oversee incoming and outgoing post and couriers.
* Handle general administrative tasks, including invoicing follow-up and vendor communication.
* Assist the HR team in Paris
Event Planning:
* Organize internal team events, such as a Team lunch every thursday and one Afterwork event per month.
* Manage logistics and budgets for team-building activities and celebrations.
Logistics & Coordination:
* Coordinate travel bookings and accommodation for visiting other offices.
* Support international colleagues with logistics when visiting the Brussels office.
* Follow up on office-related invoices, utilities, and service contracts.
Requirements
* Excellent organizational and multitasking abilities.
* Strong communication skills in English and French.
* Proficient in Microsoft Office and basic tools like Slack, Google Workspace, or similar.

What We Expect:
* A weekly commitment of 12 working hours, for at least one year.
* Physical presence at the Brussels office.
* Working hours to be distributed between Tuesday, Wednesday, and Thursday.
* Thursday attendance is mandatory.
