:
The Université libre de Bruxelles is one of the largest employers in the Brussels-Capital Region, with over 6, employees (excluding Erasmus Hospital) and almost 38, students. Its main missions are teaching, research and community service.
The Systems Ecology and Resource Management (SERM) Research Unit is the Founding and Managing Unit of TROPIMUNDO.
Within it, 2 professors with a part-time secretary, 6 researchers and around ten MSc. Thesis students per year to conduct fundamental research which mainly relates to tropical biology. TROPIMUNDO education management mainly concerns the coordination of 15 partners in 11 countries and several dozens of scholarship holders or self-funded students. SERM constantly interacts with the Departmental and Faculty secretariats regarding TROPIMUNDO.
The hired candidate will have the mission of supporting the TROPIMUNDO administrative coordination team in order to enable its proper functioning from an administrative point of view.
Although the secretariat is located in the SERM Research Unit on the Plaine campus, the agent will have to travel regularly to other units on the Plaine and Solbosch campuses of the ULB as well as on the Pleinlaan/Etterbeek Campus of the VUB. In addition, there may be activities or tasks to be organized off-campus.
Essential missions :
1. Administratively assist the Head of the Research Unit, Director of TROPIMUNDO, and its Local Administrators.
2. Assist in the reception of TROPIMUNDO students and visiting professors/researchers and the organisation of events (logistical organization of meetings, conferences, dinners, reservations of premises, hotels, restaurants, caterers, etc.).
3. Miscellaneous administrative support (data updating, receiving/sending mail or packages, telephone, access, accounting, orders, reimbursements, photocopiers, printers, etc.).
Profil :
4. Hold a bachelor's degree recognised by the FWB in the administrative or management field, a secretarial diploma or a secondary school diploma with relevant experience in the administrative or management field.
5. Applicants with a foreign qualification and/or an equivalence from the Flemish Community must obtain an equivalence for their qualification from the Wallonia-Brussels Federation ( Working - Diplômes de l'Enseignement Supérieur)
Knowledge and Skills :
6. Excellent command of the IT tools necessary for the administration of teaching and research services (Microsoft, intranet, online calendar, shared files, management of websites, creation of online surveys, votes, etc.)
7. High level of organisation
8. Ability to autonomous work as well as a team player
9. The candidate must also have a great capacity to manage and monitor different files, and numerous requests in parallel
10. The agent must quickly master the functioning of teaching and scientific research within the Master in Biology of Organisms and Ecology in general and the Erasmus Mundus Joint Master Degree in Tropical Biodiversity and Ecosystems – TROPIMUNDO in particular, and more broadly of the ULB in all its administrative aspects (the position requires regular contact with the other secretaries of the department, the Faculty of Sciences, the Department of International Relations and the central administration of the ULB).
11. Be at ease with calculations (orders/invoices and their follow-ups, management of scholarships, reimbursements, payments to partner universities, etc.)
12. Very good communication, written and oral (sending emails, telephone calls, etc., both internal and external).
13. Since the programme is managed in English from within a French-speaking university, very good command of English (CEFR B2 level) and French are imperative (CEFR C1 level). Fluency in Dutch or other languages is an asset.
