Job Purpose:
One of our clients, a major player in the healthcare sector, is seeking a personal assistant to the CEO on a permanent contract ;
The Personal Assistant (PA) provides high-level administrative and organisational support to the CEO, ensuring the efficient management of the CEO’s schedule, communications, and strategic priorities. This role acts as the primary point of contact for internal and external stakeholders and requires discretion, professionalism, and exceptional organisational skills.
Diary & Meeting Management:
* Manage and prioritise the CEO’s calendar, scheduling internal and external meetings, conferences, and events.
* Prepare agendas, briefing papers, and meeting materials.
* Follow up on action points from meetings on behalf of the CEO.
Communication & Correspondence:
* Handle incoming and outgoing emails, calls, and correspondence with discretion.
* Draft and edit letters, presentations, and reports to a high standard.
* Act as the first point of contact for stakeholders, ensuring timely and professional responses.
Travel & Logistics
* Organise complex travel arrangements, including flights, accommodation, and itineraries.
* Ensure all logistical details for events and meetings are coordinated seamlessly.
Stakeholder Engagement
* Support the CEO in preparing for high-level engagements such as round tables, advisory boards, and health talks.
* Liaise with internal teams (communications, events, office management) to ensure alignment
Confidentiality & Compliance:
* Handle sensitive information with absolute discretion.
* Ensure compliance with organisational policies and governance standards.
Desired Skills and Competences
* Excellent organisational and time-management skills.
* Strong written and verbal communication abilities in Dutch, French and English
* High level of integrity and ability to maintain confidentiality.
* Proficiency in Microsoft 365 suite, including collaboration tools and CRM systems.
* Ability to multitask and prioritise under pressure.
* Professional demeanour and proactive approach.
* Strong technical aptitude: comfortable using screens, IT tools, and managing technology in meeting rooms and virtual environments.
Qualifications & Experience
* Minimum bachelor’s degree in communications, Business Administration, or related field; master’s degree preferred.
* Strong emphasis on language skills and IT proficiency.
* Minimum 3–5 years of experience as a Personal Assistant or Executive Assistant in a corporate
environment.
* Proven track record in managing complex schedules and stakeholder relationships.
