Description:
* Provide administrative support for third-party funded project proposals and bids (collecting CVs, company information, statutes, and other necessary documents).
* Offer organizational and logistical support to unit managers.
* Liaise with the Project Events Manager and the EU Project Administrative and Financial Officer.
* Assist in the timesheet management process for funded projects.
* Collaborate with other unit officers on project activity logistics.
* Plan and organize unit activities (internal and external meetings, conference calls, workshops, events, etc.).
* Maintain effective communication with project partners.
* Follow up and update relevant databases and online platforms (Efficy, MyLibrary, MyNetwork, etc.).
* Support Project Managers in administrative tasks.
* Actively assist Unit Managers in coordinating activities and using appropriate tools to ensure high-quality outcomes.
* Serve as the main point of contact for logistics related to the unit.
* Ensure that all unit-related documents are updated and effectively distributed.
* Perform any other reasonable duties assigned by management.
Profil
* Excellent organizational and multitasking skills.
* Proficiency in MS Office, Internet, and Excel.
* Excellent command of English and French (written and spoken). Knowledge of a third language is a plus.
* Strong understanding of office management and daily operations.
* Ability to deliver high-quality work under tight deadlines.
* Initiative-driven with strong problem-solving skills.
* Ability to build effective working relationships with internal and external stakeholders.
* Willingness to travel and work under pressure, especially during on-site events.
* Team player with attention to detail.
* Proactive and able to work independently.
* Knowledge of Efficy CRM is an advantage.
* Integrity and professionalism.
