The Role

This role plays a critical part in supporting People Operations in Belgium, with a strong focus on Workday ownership, employee lifecycle administration, payroll coordination, and local compliance .

Acting as the local Belgium People Operations Coordinator, you will ensure that Workday is embedded effectively, operates smoothly for employees, and remains aligned with local requirements. You will be the key point of contact between the business, the People team, and payroll provider SD Worx, supporting day-to-day operations while partnering closely with the local People Partner.

This is a hands-on, operational role suited to someone who enjoys ownership, structure, and working across systems and processes.

Key Responsibilities

People Operations, Administration & Compliance

* Act as the Belgium lead for Workday, owning local configuration, user support, training, and continuous improvement.
* Serve as the single point of contact for EMEA Workday and People Operations initiatives impacting Belgium.
* Ensure compliance with Belgian labour law, maintaining policies, procedures, and documentation in partnership with SD Worx.
* Own and update all Belgian employment documentation, including Working Rules, Employee Handbook, contracts, terminations, and benefits documentation .
* Maintain and republish statutory documents in line with legal requirements, ensuring updates are logged on the People Portal.
* Partner closely with the local People Partner, external advisors, and the Works Council to support ongoing compliance.
* Lead the annual Health & Safety prevention review with the external provider, including psychosocial risk analysis and follow-up actions.
* Act as Prevention Advisor, completing required Securex training and refreshers (and Confidential Advisor where applicable).

Employee Lifecycle Administration

* Manage end-to-end onboarding, offboarding, contract changes, and extensions, including documentation, orientation, and system updates.
* Draft and issue employment documentation such as offers, contracts, and benefits addenda.
* Maintain accurate and compliant digital personnel files and HR data for employees, interns, and fixed-term staff.
* Coordinate onboarding logistics with IT and Office Management, including system access and equipment.
* Deliver Belgium-specific onboarding sessions and oversee benefits enrolment.
* Act as the first point of contact for day-to-day employee queries, escalating when needed.
* Partner with Learning & Development to manage the Belgian annual training plan, ensuring compliance with mandatory training requirements.

Payroll & Benefits Administration (SD Worx)

* Act as key user for the SD Worx employer platform, supporting payroll and leave administration.
* Monitor payroll inputs, review monthly payroll reports, validate test runs, and resolve discrepancies.
* Support employees with payroll-related queries and liaise with SD Worx and Finance as needed.
* Perform monthly pension reconciliations with NN Insurance and ensure completion of statutory reporting.
* Administer employee benefits, including health insurance, meal vouchers, transport allowances, and gym memberships.

Vendor & Supplier Management

* Act as primary contact for payroll, benefits, and external vendors.
* Manage supplier relationships, ensuring service quality, compliance, and operational efficiency.

Requirements

* Strong SD Worx payroll experience, including end-to-end payroll processing.
* Workday experience preferred, including configuration, data management, security roles, and reporting.
* Solid knowledge of Belgian labour law, employment contracts, benefits, and statutory requirements.
* Experience managing payroll cycles, reconciliations, and external vendors.
* Strong organisational and project management skills.
* Confident communicator in English and French or Dutch .
* High attention to detail and discretion when handling sensitive employee data.
* Proactive, solutions-oriented mindset with a focus on operational excellence and continuous improvement.
