Deadline Date: Wednesday 1 April 2026 Requirement: Finance and Portfolio Assistant Location: Braine-l'Alleud, BE Full Time On-Site: Yes Time On-Site: 100% Total Scope of the request (hours): 836 Required Start Date: 7 May 2026 End Contract Date: 31 December 2026 Required Security Clearance: NATO SECRET Duties & Role: Financial and Budget Support: Assists in the collection, consolidation, and validation of financial and budgetary data. Assists with identifying and calculating process, service, project and component costs for financial planning and budgeting. Supporting budget execution monitoring (commitments, obligations, expenditures). Preparing draft financial summaries, variance analyses, and tracking reports. Maintaining financial documentation and audit trails in designated tools and repositories. Portfolio, (Services & Project) Support: Uses recommended portfolio, programme and project control solutions for planning, scheduling and tracking. Supporting the setup, maintenance, and updating of portfolio, project, and service data in RPM designated tools (e.g. ServiceNow, EBA, Excel, SharePoint, BI tools) Assisting in reviewing project lifecycle activities (related to initiation, execution monitoring, closure support, etc.) Supporting in year portfolio reviews by compiling inputs and preparing draft presentations and reports. Supports programme or project control boards, project assurance teams and quality review meetings. Reporting and Business support: Produce regular and ad hoc reports for RPMO stakeholders, including financial, portfolio, and resource overviews. Support data analysis activities to identify trends, risks, and issues, and highlight them to RPMO staff. Maintain structured repositories for RPMO documentation, ensuring version control and accessibility. Assisting with meeting preparation, agendas, briefing material, and action tracking. Specific Working Conditions: Business travel to NATO facilities as well as travel between the NCI Agency offices may be required; Minimum of 3 days on site, possible 2 working days a week remotely from Belgium. Requirements Skill, Knowledge & Experience: The candidate must have a currently active NATO SECRET security clearance Work experience in business and coordination functions, preferably in the areas of financial and portfolio management. Strong analytical, reporting, and documentation skills Proficiency with Microsoft Office package, ERP systems (Service Now, EBA) and reporting tools (e.g. Power BI) Ability to work with multiple stakeholders in a structured, confidential environment Proficient in English
