About the Role
The Regional Administrative Sales Support role provides essential support to our Regional Sales teams and acts as an extension of our central Sales Support function. This role requires strong cross‑functional collaboration to resolve issues efficiently and ensure the Sales team receives accurate, timely information. You will proactively anticipate information needs, communicate clearly, manage expectations, and follow up within agreed timelines.This role will be fixed-term for 6 months only.

Key Responsibilities

1. Relationship Management
2. Maintain strong internal and external relationships.
3. Communicate effectively with Sales Managers and customers to support existing relationships and help develop new ones.
4. Manage customer accounts by relaying requirements internally and tracking progress across departments (Manufacturing, Service Center, Sales, Technical Support).
5. Monitor, communicate, and escalate risks related to customers’ order book and shipping schedules.
6. Confirm customer orders, issue pro‑forma invoices, and coordinate all steps through shipment completion.


Order Management

7. Input new sales quotations into Salesforce and share pricing and delivery details with clients.
8. Create timely and compliant sales orders in SAP (VRV, DX & Applied).
9. Ensure accurate order scheduling aligned with customer RDD.
10. Collaborate with DAME Supply Planning on stock allocation and factory purchase orders.
11. Work with Sales and Finance teams to follow up on customer payments.


Delivery Execution

12. Create deliveries in SAP and provide details to the Logistics team.
13. Manage administrative and shipping documentation for handover to Logistics.
14. Coordinate delivery arrangements directly with customers.
15. Verify payment status and communicate updates with Sales and customers.
16. Obtain required management approvals to ensure smooth Q2C processes.
17. Coordinate LC creation with CCD, Logistics, and customers.
18. Send original invoices to customers and arrange payment collection.


Reporting & Compliance

19. Prepare weekly and monthly sales progress reports for the assigned region.
20. Ensure processes are followed in compliance with J‑SOX rules and regulations.
21. Monitor actual cost allocations against approved cost and project provisions.


What You Need to Succeed

22. 3–5 years of experience in Sales Administration or Customer Service.
23. Proficiency with SAP and Salesforce.com.
24. Strong command of Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with SharePoint and OneDrive is a plus.
25. Prior experience supporting Sales teams is highly beneficial.
26. Fluent English; Arabic or French is an added advantage.
