Your function
The Corporate Governance & Project Officer ensures EGI’s entities, contracts, and processes operate under robust governance and efficient coordination. Acting as the operational backbone of the COO Office, this role combines hands‑on execution with strategic oversight, ensuring EGI’s multi‑entity structure runs smoothly, compliantly, and in alignment with Group standards.
Typical activities (responsibilities)
* Entity Governance & Compliance – coordinate with Legal, Finance, and the Elia Group General Secretariat to prepare, update, and maintain documentation related to the creation, modification, and management of EGI’s international entities.
* Maintain corporate registers, lists of directors, powers of attorney, and key corporate documents.
* Support compliance with internal governance policies and external regulatory requirements across jurisdictions.
* Prepare and consolidate documentation for audits, internal controls, and Board meetings.
* Proactively identify potential compliance gaps and propose corrective measures.
* Contract Management – coordinate the internal review and approval workflow of contractual matters, ensuring alignment of contract templates with Group standards, maintain an up‑to‑date contract register, and track renewal or expiration deadlines.
* Facilitate cross‑departmental review to ensure timely and compliant sign‑off.
* Corporate Projects & Process Coordination – support the COO in transversal initiatives and lead small‑to‑medium improvement projects related to governance, documentation, and process efficiency.
* Prepare project documentation, progress dashboards, and management presentations.
* Ensure follow‑up of action plans and internal project deadlines across teams.
* Quality Officer – own the yearly ISO 9001 audit process, maintain and update the Quality Management System (QMS), and drive a culture of continuous improvement.
Your profile – Education & Experience
* Master’s degree preferably in Law or a related field.
* 4–6 years of professional experience in corporate governance, project management, or administrative coordination in an international or consulting environment.
* Understanding of company and financial services laws and regulations; familiarity with ISO or compliance frameworks is a plus.
Skills & Competencies
* Excellent organisational and time‑management skills; able to manage multiple priorities under tight deadlines.
* Strong analytical and drafting skills (reports, presentations, governance documentation).
* High attention to detail, with a structured and process‑oriented mindset.
* Tech‑savvy and comfortable with digital tools (MS 365, SharePoint, Planner, PowerPoint).
* Fluent in English; good command of French or German is an asset.
