Job Description
Discovery College is searching for a PA to Head of Secondary. The ideal candidate would be devising and maintaining office systems to deal efficiently with paper flow, liaising with parents, suppliers and other staff, and maintaining communication with stakeholders.
Job Summary
To Supports the Head of Secondary in fulfilling and executing duties, ensuring the smooth and efficient operation of the Secondary School. Acts with a high degree of independence and discretion in setting tasks and priorities as approved by the Head of Secondary.
Key Responsibilities
Acts as a communications conduit for the Head of Secondary and represents the School as an initial host for visitors to the Secondary Office.
Provides comprehensive administrative support to the Head of Secondary, including diary management, correspondence, filing, travel arrangements, and meeting coordination.
Coordinates schedules and appointments to ensure the Head of Secondary is well-prepared for meetings, events, and school engagements.
Screens and handles telephone calls, emails, and other communications, conducts follow-up actions, and manages enquiries with professionalism and confidentiality.
Prepares and maintains documents (e.g., meeting papers, reports, presentations, and minutes) accurately, promptly, and in accordance with ESF style and formatting standards.
Arranges and attends meetings such as staff, committee, and planning meetings; prepares agendas, circulates materials, and records minutes as required.
Organises venues, refreshments, and catering for meetings and events as required by the Head of Secondary.
Liaises with parents, staff, and external stakeholders, ensuring effective and professional communication.
Oversees administrative coherence within the Secondary Office — ensuring consistency, efficiency, and adherence to school-wide administrative practices.
Supports staffing-related processes, including recruitment logistics, correspondence, and interview schedules.
Assists in facility planning and operational logistics to support the daily functioning of the Secondary School.
Maintains accurate digital and hard-copy records, ensuring proper data management and confidentiality.
Ensures compliance with safeguarding standards in all student and community interactions.
Performs any other tasks as directed by the Head of Secondary, consistent with the role's scope and responsibilities.
Requirements
Minimum typical education:
Tertiary education in Secretarial or Office Administration course or equivalent
Minimum Typical Experience
3-4 of years secretarial or administrative support experience
Previously working in a school would be an advantage
Core Professional/Technical Competencies Required
Proficiency in MS Word, Excel, Google Workspace (Docs, sheets, forms, slides) and Other Microsoft applications
Ability to compose routine letters following established standards
Applies competent office administration skills
Excellent interpersonal & organisational skills
Fluency in oral and written English, and knowledge of Cantonese is desirable
