Assistant Level 1 – Public Affairs

About the Role
One of our clients is looking for a dynamic and motivated Assistant Level 1 to join their Public Affairs team. This is a full-time role (40h/week), initially on a temporary contract with the possibility to transition to a permanent position.
The role consists of directly supporting 4 Directors within a team of 15 people. The current assistant will evolve into a new role but remain in the department. The new assistant will take over operational and administrative support for the Directors, including agendas, meeting organization, travel arrangements, and expense management.
You will also support the overall department, including coordination of team meetings, events, and day-to-day activities. This is a strategic and highly visible role requiring flexibility, professionalism, and the ability to handle multiple priorities.
Start of mission: Week of 2 March 2026
HR Interviews: 2–13 February 2026
Interviews with PA Directors + Executive Director: 16–27 February 2026
Key Responsibilities
1. Executive Support
* Manage agendas, meetings, travel, and expenses for 4 Directors
* Support meeting preparation and documentation
* Protect Directors' time and anticipate needs proactively
2. Department Coordination & Team Support
* Organize weekly team meetings and follow up on action points
* Coordinate departmental activities and events, including logistics, venues, catering, and materials
* Maintain department documents on SharePoint and serve as central contact for administrative requests
* Assist with onboarding new team members
3. Project & Event Support
* Support events, including venue booking, guest list coordination (GDPR-compliant), registration setup, and post-event reporting
* Coordinate calls with stakeholders, prepare agendas, take minutes, and follow up on action points
4. General Administrative Support
* Maintain and update contact lists in internal databases (e.g., Salesforce)
* Support internal communications and coordinate input for Public Affairs work
Candidate Profile
Experience & Skills:
* Bachelor's degree or equivalent in Office Management or similar
* Minimum 3 years' experience in administrative support, ideally at senior management level
* Excellent written and oral communication skills
* Fluent in English; additional languages are a plus
* Strong proficiency in Microsoft Office (Word, Excel, PowerPoint)
* Highly organized, proactive, and able to prioritize tasks
* Comfortable managing multiple schedules (up to 30 calendars) and supporting multiple senior leaders simultaneously

* Strong interpersonal skills, confident in representing the department at events and interacting with internal and external stakeholders

* Understanding of event management is a plus, but not mandatory
