Overview
SportStars is seeking a highly organized and proactive Personal Assistant to support the CEO across both professional and personal priorities. This is a dynamic role that blends traditional executive support with high-level personal coordination, enabling the CEO to operate efficiently across multiple time zones and international locations.
The ideal candidate is resourceful, detail-oriented, and thrives in a fast-paced environment. You will play a critical role in managing day-to-day logistics, anticipating needs, and ensuring both business and personal responsibilities are handled seamlessly.
Responsibilities
Executive Support
* Manage the CEO's calendar, including scheduling meetings, appointments, and international travel across multiple time zones
* Prepare reports, presentations, and correspondence as required
* Act as a primary point of contact for internal and external stakeholders, ensuring clear and professional communication
* Assist in planning meetings, events, and business-related logistics
* Conduct research and compile information to support decision-making
Personal & Lifestyle Coordination
* Oversee personal scheduling, including appointments, reservations, and day-to-day logistics
* Coordinate travel arrangements, accommodations, transportation, and itineraries across multiple cities
* Support family logistics and planning, including activities, schedules, and special events
* Handle personal errands, vendor coordination, and service management with efficiency and discretion
* Maintain important dates, reminders, and gifting coordination to ensure nothing is overlooked
Proactive Planning & Research
* Research and recommend services, experiences, and opportunities (e.g., dining, events, travel, wellness, etc.)
* Anticipate needs and provide solutions before they arise
Qualifications & Skills
* Proven experience as an Executive Assistant, Personal Assistant, or in a similar role
* Exceptional organizational and time-management skills with strong attention to detail
* Highly proactive with the ability to anticipate needs and operate independently
* Strong written and verbal communication skills
* Comfortable working in a fast-paced, international environment
* High level of discretion and professionalism when handling confidential information
* Digitally fluent (Google Workspace, Microsoft Office, messaging platforms, and other productivity tools)
* Flexibility to adapt to changing priorities and schedules
* Bilingual proficiency in English and Spanish
* Experience supporting executives with international travel and cross-border coordination
