As an Office Assistant / Personal Assistant, you will play a key role in supporting our partners and ensuring the smooth day-to-day operations of our Brussels office. You will be the central point of contact for administrative tasks, office coordination, and internal support, contributing to a collaborative and efficient work environment. You will assist multiple partners with scheduling, travel arrangements, and meeting logistics, while also managing a wide range of office responsibilities—from handling incoming calls and coordinating events to processing invoices and maintaining supplies. You will serve as a trusted backup for colleagues and help ensure continuity across teams. Key Responsibilities Personal assistance to several partners: calendar management, travel bookings, meeting coordination via Teams General office administration: document layout, scanning, archiving, invoice processing, and digital filing Manage incoming and outgoing post, courier services, and franking machine operations Maintain office supplies and equipment (printers, coffee machines, dishwasher, etc.) Coordinate internal and external events: room setup, catering, badge preparation Handle badge and key management, parking badge distribution, and contact with cleaning staff Upload and manage documents via Connective, E-corporate, and Onegate platforms Support onboarding/offboarding processes and internal communications Assist with document preparation for audits, including REP letters, engagement letters, and commissioner reports Serve as phone backup and lunch cover for reception Book restaurants, taxis, hotels, and transport for staff and clients About you You bring at least 2/3 years of experience in office administration/personal assistance You are fluent in French and English; Dutch is a plus You are highly organized, detail-oriented, and proactive You have strong proficiency in Microsoft Outlook, Excel, Word, and PowerPoint You are a team player who thrives in a structured environment and can handle repetitive tasks with precision You communicate clearly and professionally, both internally and externally Our offer A diverse and impactful role within a dynamic and growing organization A collaborative team culture that values initiative and reliability Opportunities for professional development through internal training and cross-functional projects A competitive salary and benefits package The chance to contribute meaningfully to a firm that values excellence, integrity, and innovation If you are a motivated and dependable professional looking to grow your career in a supportive and international environment, we encourage you to apply.
