About the Role

Are you passionate about payroll excellence and operational HR? Do you enjoy combining accuracy, compliance, and process improvement while working closely with both people and systems?

We are looking for a Payroll & Operations Manager to take ownership of payroll and HR administration for a workforce of approximately 400 employees. In this key role, you will ensure flawless payroll execution, guarantee legal and regulatory compliance, and continuously improve HR operational processes. You will be the central point of contact for payroll-related audits and inspections and play an active role in HR transformation projects.

You will work closely with HR Administrators, the external social secretariat, and internal stakeholders to deliver a high-quality, consistent, and employee-focused HR service.

What You Will Do

Payroll Management

* You ensure accurate, compliant, and timely end-to-end payroll processing for the entire organization.
* You coordinate and support HR assistants involved in payroll and administrative activities.
* You act as the main interface with the social secretariat for all payroll-related matters.
* You validate monthly payroll runs before approval, including variable pay, benefits, corrections, and legislative updates.
* You ensure clear and effective communication with employees regarding payroll topics.

Compliance, Audits & Inspections

* You serve as the key point of contact for payroll audits, social inspections, and tax authorities.
* You prepare and provide documentation, reports, and explanations required by authorities.
* You ensure full compliance with social legislation, tax regulations, and internal audit requirements.
* You implement corrective actions and process enhancements following audits or inspections.

HR Administration & Employee Services

* You oversee all HR administrative processes throughout the employee lifecycle (onboarding, contracts, changes, offboarding).
* You deliver a high-quality service to employees and managers, while supporting self-service solutions where relevant.
* You maintain accurate and up-to-date personnel records in full compliance with data protection regulations.
* You develop and maintain clear procedures, templates, and work instructions to ensure consistency and quality.

Business Continuity & Process Governance

* You ensure payroll and HR administration processes are fully documented, accessible, and aligned with continuity requirements.
* You identify operational risks related to dependency, documentation gaps, or resilience.
* You implement and maintain standardized manuals, workflows, and documentation to ensure seamless business continuity.

Process Optimization & Continuous Improvement

* You review, redesign, and streamline payroll and HR administrative processes to improve efficiency and employee experience.
* You drive automation, standardization, and accuracy across HR operations.
* You monitor HR operational KPIs and lead continuous improvement initiatives.

HR Projects & Systems

* You lead or contribute to HR projects such as HRIS implementations, payroll optimizations, digitalization initiatives, or salary surveys.
* You collaborate with HR, IT, Finance, and external partners to ensure successful project delivery.
* You support system testing, change management, training, and adoption.
* You ensure new processes and tools are successfully embedded into day-to-day operations.

What You Bring

Education & Experience

* You have a Bachelor’s or Master’s degree in HR, Business Administration, or equivalent experience.
* You have a solid experience in payroll management and HR administration, ideally in a mid-sized or large organization.
* You have a strong knowledge of social legislation and payroll best practices.

Skills & Competencies

* You are accurate, discrete, and reliable.
* You have strong organizational, analytical, and deadline management skills.
* You have a proactive mindset with a passion for continuous improvement.
* You are comfortable working with HR systems and contributing to implementation projects.
* You have strong communication skills and ability to work with multiple stakeholders.
* You are fluent in French and Dutch and have a good command of English.

Practical Information

* Reporting to: Head of HR Operations
* Location: Belgium
* Travel: Occasional travel to company locations within Belgium
