The company
Our client, an international leader in their sector, is looking for a Purchasing Administrator to strengthen their procurement team.
In this role, you will play a key part in ensuring product availability, supporting operational continuity, and contributing to a seamless supply chain.
Your Mission
As Purchasing Administrator, you will support the purchasing department by coordinating, executing, and administrating all purchase‑related tasks. Your accuracy and structured approach will help secure timely deliveries, ensure correct invoicing, and ultimately maintain high customer satisfaction.
Operational Purchasing
Create purchase orders for sales backorders and stock requirements.
Send orders to suppliers and closely follow up on order confirmations.
Validate accuracy of confirmations (ETD, part number, pricing, quantities) and update the ERP system accordingly.
Communicate discrepancies to the relevant Purchase Engineer for approval or correction.
Invoice & Documentation Management
Register and archive purchase invoices accurately and on time (LOT, COO, serial numbers, etc.).
Monitor and request missing supplier invoices based on daily flagging reports.
Follow up on outstanding invoices until the goods have been physically received.
Collaborate with the accounting team to resolve open invoice issues and process manual payment requests when needed.
Ensure proper archiving and compliance with internal procedures (including SOX).
Maintain receipts for direct shipment orders and for orders from various international entities.
Process sales cancellations in the internal system.
Follow up on unsent or blocked orders to prevent supply chain gaps.
Keep daily contact with suppliers to ensure smooth operational flow.
Your Profile
Education: A1 diploma or equivalent through experience.
Experience: 2–3 years in a similar purchasing, administrative, or supply chain role.
Technical Skills: MS Outlook and basic Excel
Experience with ERP systems (Baan or similar
Good command of English. Dutch is an asset
Structured and organized
Able to plan work according to recurring deadlines
Accurate, attentive to detail, flexible, proactive, and eager to learn
