Your Mission
As an Operations Intern at CIVIX, you will play a key role in ensuring the successful launch of our new Civix.cyber program by supporting day-to-day program operations. Working closely with CIVIX’s leadership team and partners, you will help coordinate admissions, campus readiness, workshops, and events that enable a smooth learner experience and measurable impact.
This role will involve:
* Coordinating admissions, onboarding, schedules, and campus logistics for Civix.cyber.
* Organizing workshops and speaker sessions, and supporting the tools/vendors needed for training delivery.
* Supporting the hackathon and employer engagement activities to drive learner outcomes.
CIVIX is currently focused on:
* Civix.cyber Launch: Preparing and operating an inclusive cybersecurity training pathway that combines a recruitment challenge, weekly expert workshops, and a public-interest hackathon.
Responsibilities
* Program Operations: Coordinate admissions, onboarding, scheduling, and campus logistics for Civix.cyber - admin support.
* Program Setup: Prepare tools/vendors (lab accounts, licenses) and organize program materials and operating processes.
* Stakeholder Coordination: Liaise with trainers, speakers, partners, and institutions; manage calendars and communications.
* Event Operations: Support the organization of the Civix.cyber hackathon and employer days, including planning, logistics, and follow-up with participants.
* Impact Reporting: Help prepare dashboards and reports on learner progress, certifications, and placement outcomes to maintain partner trust.
* Database & Tools Management: Maintain structured records (learners, partners, schedules) and keep operating playbooks up to date.
Requirements
Skills - Must-have
* Professional Experience: No prior professional experience required, but a strong interest in operations and NGO work is essential.
* Language Skills: Proficiency in FRENCH or DUTCH + English.
* Residency and Work Permit: Must be a resident and have a valid work permit for Belgium.
* Communication: Effective verbal and written communication skills in the required languages.
* Problem-Solving: Analytical skills with the ability to think strategically and help find solutions.
Skills - Could-have
* Experience with NGOs: Previous experience in non-profit operations or youth engagement initiatives.
* Experience with Program Operations: Previous experience in program coordination, events/logistics, or campus operations is a strong plus.
* Interest in Cybersecurity & Education: A passion for widening access to tech careers and engaging young people in digital topics.
* Digital Tools: Familiarity with project/CRM tools (e.g., Google Workspace, Notion/Airtable, Slack) for scheduling and communication.

CIVIX is a Belgian non-profit organization founded in 2018. In 2019, CIVIX launched its first major initiative—an application that quickly gained traction, attracting over 68,000 users and becoming the top app on the App Store. Since then, CIVIX has continued to innovate, developing an AI application for the 2024 elections, organizing educational workshops in schools, and hosting events that reconnect young people with political figures, attracting hundreds of participants. We are now launching Civix.cyber to expand access to cybersecurity training and real-world experience.
