To support our growth and mission, we are looking for an enthusiastic Operations Specialist to optimize our processes and take our logistic efficiency to the next level.

Are you an organizational talent who gets energy from streamlining processes, and tackling operational challenges? We are looking for someone to strengthen our growing team by managing logistics flows, inventory, and day-to-day operational tasks with precision. From inventory management to event preparations, you'll ensure that everything runs smoothly behind the scenes, helping us grow our impact on sustainability and innovation.

Your role

As Logistics Coordinator / Office & Operations Lead, you are ultimately responsible for coordinating all transport flows of finished products to our customers, both B2B and B2C. You ensure that orders are delivered correctly, on time, and cost-efficiently, and that all related processes are properly aligned.

In this role, you manage the Field Logistics Coordinator and maintain close contact with our fulfillment partners. You oversee the operational flow from A to Z and proactively intervene whenever needed.

In addition, you also play an important role in supporting the organization's daily operations and help ensure a smooth, safe, and well-organized working environment.

Your responsibilities

* You coordinate all outbound transport flows to customers, both nationally and internationally.
* You proactively follow up on exceptions and irregularities such as delays, lost or damaged shipments, missorts, returns, and claims.
* You work closely with the Supply Chain Expert and Customer Service teams to ensure smooth information flow and efficient follow-up.
* You ensure that all necessary documents and labels are correctly prepared and available, including packing lists, CRM documents, and transport documentation.
* You take the lead in automation and process improvement within your scope and continuously look for ways to make business flows more efficient and smarter.
* You build and maintain a reporting flow and monitor KPIs such as OTIF, lead time, cost per shipment, and claim rate.
* You communicate clearly and professionally with customers, drivers, colleagues, and external partners to ensure smooth handling and follow-up.
* You support the organization's day-to-day operations, including ordering internal supplies, negotiating prices, and coordinating the delivery of goods and services.
* You oversee the safety and accessibility of the office building and maintain the relationship with the building manager.

Who are we looking for?

* You have experience in logistics, supply chain, operations, or a similar coordinating role.
* You work in a structured way and can easily maintain an overview, even when handling multiple priorities at once.
* You are a strong communicator and can easily interact with a variety of internal and external stakeholders.
* You are solution-oriented and take ownership of your responsibilities.
* You have a sharp eye for efficiency, optimization, and continuous improvement.
* You feel comfortable in a role that combines operational follow-up with coordinating responsibility.
* Experience with reporting, KPI follow-up, and logistics documentation is a strong plus.
* You know the functionalities of Odoo by heart so you can jump in our systems quickly.
