Office Manager We're looking for an organized and hands-on Office Manager who keeps our office running smoothly and our team supported, energized and connected. Part-time · Antwerp WHO ARE WE? WHAT WE ARE LOOKING FOR We are looking for an Office Manager who understands that a strong culture starts with a well-organized and welcoming workplace. You are the steady presence in the office — the person people turn to when they have a question, need support, or when something simply needs to be fixed. You make sure our workspace is clean, structured and pleasant to work in. You coordinate suppliers, manage our IT setup together with our external partner, and ensure everything behind the scenes runs effortlessly. At the same time, you play an important role in creating a positive atmosphere and organizing internal moments that bring people together. YOUR RESPONSIBILITIES Confidentiality & Professional Integrity You handle confidential information with professionalism and discretion, maintaining strict confidentiality at all times. Office excellence and organizational skills You safeguard the overall organization, cleanliness and functionality of the office. You coordinate and manage the cleaning crew and ensure high standards are maintained. You make sure meeting rooms are set up and ready for upcoming meetings. The go-to person on site You are present in the office and act as the first point of contact for practical questions, challenges or unexpected issues. IT coordination You manage all internal tools and systems (laptops, software access, accounts, subscriptions) in close collaboration with our external IT partner. You ensure every employee has what they need to work efficiently. Facilities & suppliers From maintenance works to technical issues — you coordinate external partners and make sure repairs and improvements are handled quickly and properly. Travel Management You manage all internal travel arrangements, including trains, flights, hotels, and related logistics. You ensure cost-efficient bookings, smooth planning, and clear communication, while handling changes or issues proactively. Internal events & culture moments You organize internal events, team gatherings and office moments that strengthen team spirit and create connection. Structure & processes You improve office-related workflows, keep track of contracts and subscriptions, and ensure smooth administrative follow-up where needed WHAT YOU BRING You love structure and bring calm to busy environments. You naturally create order and clarity. You don’t wait — you act. You are hands-on and a fixer. You have a people-oriented mindset. You are approachable, supportive and enjoy being the connecting factor within a team. You feel comfortable managing IT tools, software accounts and working together with external IT partners. You know how to coordinate suppliers and external partners clearly and efficiently. You are comfortable working with MS Office and standard office equipment (printers, phones, computers). You communicate clearly and professionally. Your motherlanguage is Dutch. Nice to have. Experience in office management, facilities coordination or a similar role within an agency or fast-paced environment is a plus. Nice to have. Affinity with Amsterdam. Main focus is in Antwerp but sometimes traveling to Amsterdam is part of the job.
