This role is pivotal to ensuring that site operations run smoothly, compliantly, and efficiently supporting both the general contractor’s team and coordinating with subcontractors on-site.Key ResponsibilitiesMonitor and ensure full compliance with Belgian labour laws and social regulations, including Limosa declarations, A1 certificates, CheckIn@Work, and subcontractor registration requirementsVerify and maintain accurate records of personnel documentation, including right-to-work, site access permits, safety training certificates (e.g., VCA), and ID verificationCoordinate secure site access procedures in line with high-security data centre protocols, including background checks, visitor tracking, and daily access logsSupport and enforce strict site compliance protocols across both direct employees and subcontractors, ensuring all companies and individuals meet local, legal, and client-specific requirements before mobilisationAct as a liaison between site security, HSE, and administrative teams to ensure access and workforce management is efficient and fully compliantPrepare documentation for audits and inspections by Belgian authorities or the client, ensuring readiness and alignment with GDPR and other data protection standardsProvide day-to-day administrative support to site management, engineers, subcontractors, and suppliersCoordinate supplier onboarding, manage purchase orders, monitor delivery schedules, and ensure that invoices are properly approved and paid in collaboration with procurement and finance teamsLiaise with procurement and logistics departments to support timely delivery of materials and services to siteSupport and coordinate meetings, take minutes, manage filing systems, and maintain up-to-date records for auditsServe as the site point of contact for internal departments and external vendors on administrative, compliance, and logistical mattersRequirements5+ years of site-based administrative experience, ideally on data centre, pharma, or other critical infrastructure projectsStrong understanding and solid experience supporting of social compliance, site access procedures, and documentation within a high-security large scale construction environmentStrong working knowledge of procurement and supplier coordination processesFamiliar with invoice and PO tracking, logistics coordination, and delivery schedulesProficient in Microsoft Office (Word, Excel, Outlook) and document control toolsFluent in English and French; Dutch is a strong advantageStrong communication and organisational skillsAble to commute reliably to Mons, Belgium, and be present on-site full-timeProfessional, discreet, and confident in working within a high-security and regulated environmentIf this position is of interest, please submit your most up to date CV.Our recruitment team will review your CV and, if you meet our criteria, we will reach out to you for an informal discussion.ImportantAs part of our recruitment process, reference checks will be conducted at the job offer stage.
