The Assistant Manager will provide essential administrative support to the department head, faculty, teaching assistants, and students, ensuring efficient operations and compliance with university policies.
Key Responsibilities:
* Support the department head and faculty in managing financial and personnel-related documents, including hiring Research Assistants and processing reimbursements for research-related expenses. Oversee the purchase of research and office equipment and maintain records for efficient retrieval and compliance.
* Collaborate with the PG Coordinator to provide program administration and student support, including scheduling Qualifying Exams and MPhil/PhD Thesis Presentations for postgraduate students.
* Handle grant applications, ensuring all necessary documentation is submitted accurately and on time, while also supporting alumni activities to foster ongoing relationships and engagement.
* Ensure the smooth operation of the department office and Behavioral Research Labs through effective housekeeping and management practices.
* Manage daily office operations by overseeing documentation, maintaining the department website, handling inventory purchases, and assisting in facilities management to ensure optimal functioning of the department and labs.
* Provide accurate information in response to inquiries and requests by staying updated on university policies and procedures.
Qualifications:
Applicants with a bachelor's degree and at least six years of relevant experience in local tertiary education institutions are preferred. The appointee should be highly versatile and able to operate effectively in a multitasking, multicultural, and dynamic working environment, with strong interpersonal, organizational, and problem‑solving skills.
Excellent command of written and spoken English and Chinese, including Putonghua, as well as strong IT and quantitative skills, are desirable. The successful candidate is expected to be proactive, solution‑oriented, flexible, and capable of working independently as well as collaboratively in a team setting. Working outside regular office hours is sometimes required.
(Duration: 2 years, renewable)
Starting salary will be commensurate with qualifications and experience. Fringe benefits including annual leave, medical and dental benefits will be provided. A gratuity will be payable upon successful completion of the contract.
