The primary objective of the Colegio Notarial de Puerto Rico is to provide services to its members by addressing inquiries related to notarial law and other related fields; offering a wide range of continuing legal education courses through its Academia Notarial; keeping members informed about new legislation and case law that impact the profession; and organizing various workshops, forums, and professional activities for the benefit of its membership. Additionally, Colegio collaborates with organizations and communities across the island to provide assistance and guidance to the general public on matters related to notarial law.
Role Description
We are seeking an organized, proactive, and communicative Administrative Assistant to support the company's daily administrative operations. The selected candidate will play a key role in providing support across different departments, ensuring efficiency and compliance with internal processes.
Key Responsibilities
Management and filing of physical and digital documentation.
Handling and follow-up of emails, phone calls, and calendar scheduling.
Assistance in preparing reports, presentations, and administrative documents.
Coordination of meetings, appointments, and internal logistics.
Monitoring and recording invoices, expenses, and administrative orders.
Support with corporate social media accounts (basic postings, message follow-up, and coordination with the relevant department).
General support to management and other departments as required.
Requirements
High school diploma; a BSc/BA in Business Administration or a related field will be considered.
Diploma/Certificate in frontline management or a relevant field.
Minimum of 1–2 years of experience in similar administrative roles.
Proficiency in office tools (Microsoft Office / Google Workspace).
Basic knowledge of social media management (Instagram, Facebook, LinkedIn, and others).
Strong organizational skills, attention to detail, and time management abilities.
Good verbal and written communication skills.
Ability to work independently and as part of a team.
Proactive attitude and continuous improvement mindset.
Bilingual proficiency (Spanish–English) is preferred.
