EMEA Recruitment is recruiting for a Global Board Executive Assistant on behalf of a leading, world-renowned multinational organization. Based at their offices in Leuven, Belgium, this is a high-visibility role reporting to the Global Director of Corporate Governance.
This position serves as the critical backbone for the Group’s Board of Directors and Senior Leadership Team.
You will manage the end-to-end orchestration of complex board cycles, international logistics, and high-profile shareholder events for up to 120 participants.
This role requires a professional who operates with the highest level of discretion, navigating a fast-paced global matrix with diplomatic precision.
Key Responsibilities:
* Board Governance & Administration: Full ownership of the Board calendar, including the coordination of all committee meetings and the management of sensitive materials
* Shareholder Relations: Acting as the primary point of contact for shareholders; managing bi-annual meetings, logistics for 100+ guests, and various ad-hoc requests
* Financial Oversight: Managing the Board budget, including expense processing, remuneration calculations, and social security contributions for non-Belgian members
* Logistical Excellence: Managing complex international travel, hotel, and transfer programs for Board members and Senior Leadership, ensuring seamless execution across different time zones
* Compliance & Filing: Maintaining rigorous records of Board documents for internal and external auditors and supporting due diligence or tax control inquiries
Requirements:
* Experience: 10+ years of experience as an Executive Assistant, specifically supporting a Board of Directors or C-Suite within a global organization
* Linguistic Skills: Trilingual fluency is desired: English, Dutch, and French
* Discretion: Absolute integrity and the ability to handle highly confidential information with diplomacy and assertiveness
* Technical Proficiency: Advanced skills in MS Office, SAP, and board portal software; Experience with Workday or Egencia is a plus
* Flexibility: A high degree of flexibility is required, including the ability to manage urgent postings or requests outside of standard working hours
* Mindset: An enthusiastic problem-solver with an uncompromising drive for quality and attention to detail
