About EARMA
The European Association of Research Managers and Administrators (EARMA) is a dynamic international organisation supporting research management communities across Europe. Interns gain hands-on experience in event organisation, administration, communication, and digital tools, working alongside a supportive and experienced team.
Purpose of the internship
This internship offers an introductory experience into professional life, allowing the intern to acquire practical knowledge and skills through active participation in team tasks and projects.
Main responsibilities
Internship Opportunity – Finance & Operations Support EARMA
* Manage the full processing of purchase invoices in EARMA's internal and accounting system (Exact Online).
* Keep track of all invoices received from suppliers, including continuous checking of final invoices and ensuring full reconciliation between received invoices and the system—for both conference-related and office-related costs.
* Assign analytical and cost-center codes to invoices to support accurate budgeting and financial reporting.
* Assist with travel reimbursements for EARMA stakeholders.
* Monitor and help maintain the budgets of various cost centres.
* Communicate with suppliers when clarifications or follow-up actions are required.
* Support the filing and organisation of employee documents.
* Track organisational policies and procedures, assist with updates, and support review and approval workflows.
* Help monitor individual employee training budgets and contribute to the development of a new training catalogue.
* Assist with expense reporting and documentation within Officient.
* Provide general support to the EARMA Operations team where needed.
Required Profile
* A graduate or currently enrolled in a Bachelor's or Master's programme in Finance, Business Administration, Accounting, HR, or a related field.
* Strong attention to detail with excellent organisational and administrative skills.
* Comfortable working with numbers and financial documents.
* Basic understanding of accounting principles is an asset.
* Proficiency in MS Office (especially Excel); willingness to learn Exact Online, Billit, and Officient.
* Good communication skills in English (both written and spoken).
* Ability to maintain confidentiality and handle sensitive information professionally.
* Proactive, eager to learn, and able to work both independently and as part of a team.
* Interest in working within an international, non-profit, or association environment is a plus.

This internship is also open to Erasmus+ students. If the Erasmus+ grant does not cover the full internship allowance, EARMA will pay the difference to ensure the intern receives the 1250 euro. If the Erasmus + grant fully covers the 1250 euro or is higher, EARMA will not add additional remuneration on top of the grant.
