The Legal Secretary will provide efficient and effective administrative services to fee earners such as Associates, Trainees and others as assigned.
Main responsibilities:
1. Produce and edit documents, including materials from Service Centers, ensuring accuracy
2. Handle incoming calls professionally and efficiently
3. Provide calendar management for attorneys and practice group meetings
4. Manage logistics for internal and external meetings
5. Manage emails and inbox of attorneys, ensuring timely responses
6. Support client requirements through direct contact with clients and their assistants
7. Build and maintain proactive relationships with other secretaries and teams
8. Manage documents and emails via iManage
9. Assist with standard administration duties such as printing, scanning, binding, and copying
10. Provide travel management support for attorneys and practice group members
11. Manage competing deadlines effectively and prioritize tasks
12. Assist team members as needed to meet deadlines
13. Support new secretarial staff by acting as buddy and mentor
14. Identify and address skill gaps within the team
15. Provide backup assistance to Partners and Counsels when necessary
Skills and experience:
16. A high school diploma or equivalent; a secretarial degree is preferred
17. A large amount of legal secretarial experience; work experience in a legal or professional services environment
18. A minimum of Intermediate knowledge of MS Word, Excel, and PowerPoint
19. Intermediate knowledge of office systems Intapp Time, Intapp Open, etc.)
20. Able to complete fine hand manipulation (heavy typing, dialing, filing); sitting/standing/walking/stooping; ability to lift to 25 lbs
21. Can work independently, prioritize work and meet deadlines
22. Knowledge of marketing resources and relevant materials
23. Excellent English verbal and written communication skills
24. Actively pursue opportunities for self-development/collaboration
25. Understand Firm structure and available resources
26. Look for ways to improve processes and/or procedures
27. Some analytical ability is required to find solutions to various administrative problems and prioritize workloads
