For our client Google in Brussels we are looking for a Facilities Assistant - Receptionist & Events Support/ You will collaborate with colleagues to inspire customer moments of delight and pursue amazing outcomes each day. Be an ambassador of a one team approach within Operations team, representing CBRE and Client brand. You will be immersed in the day to day operations of Facilities Services, providing high quality customer service and experiences creating a fun and safe place to work including reception services, office administration, health & safety activities and Ad hoc service requests. This role is ideal for an energetic, highly organized individual with a strong customer service focus who thrives in a fast-paced, dynamic tech environment. The ideal candidate will be customer focused, highly motivated, proactive and show great initiative to keep the office running smoothly. Tasks: Customer & Visitor Experience ? Serve as the Director of First Impressions for the Google office, professionally greeting, welcoming, and directing all visitors ? Provide a high-class service and customer/visitor experience, ensuring every interaction is professional and pleasant. ? Manage incoming communications (email/guts tickets, pings) regarding facilities matters and maintain a secure visitor sign-in/kiosk pass registration system Manage the reception desk and adjacent areas, maintaining them in a professional and presentable manner at all times. This includes overseeing decorations, lighting, seating, product displays, literature, and refreshments. ? Efficiently handle and direct all client inquiries, ensuring accurate and professional communication. ? Provide support to visitors and their hosts in the use of badging equipment as necessary. ? Ensure all visitor badges are returned as guests leave the building. Events support ? Provide hands-on logistical support for all internal and client-facing events and meetings, including room setups (tables, chairs, furniture moving) and tear-downs Quality, Health, Safety and Environment ? It is the overall objective for all of our roles to participate in creating and enhancing our safety culture ? To support this you'll log quality hazards and ensure resulting actions are closed out. This helps make our spaces safer and improve the safety culture ? You provide general safety support by managing and processing any requests for access control devices and passes for staff, contractors and visitors. ? You maintain safety standards as required, ensuring that visitors are escorted and contractors do not have access to areas without the appropriate authorisation or supervision ? Safety and security is always in the forefront of your mind and you raise any security concerns immediately to Client security team and your line manager ? Your role will include cooperating in the upload of Logbook documentation to the designated digital folders, which will help maintain accurate record-keeping and compliance. Additionally, you'll collaborate on the use of the Safe Permit tool and assist in ensuring all vendors/partners upload their essential documentation ATW and Safe Permit ? You are aware of and follow required emergency prevention and operational controls ? You report all accidents, occupational illnesses and emergencies ? To ensure a safe working environment for all you complete monthly compliance tasks assigned to you ? To demonstrate compliance you undertake and support site audits ? You assist with Building Evacuation Team training and drills ? You will embed a culture of safe working and compliance capturing RISE Behaviours ? As a Receptionist / Facilities Assistant & Events, you'll play a pivotal role in ensuring our office runs smoothly, delivering exceptional service to both internal colleagues and external visitors. You'll be a key part of our operations team, actively contributing to a positive and efficient work environment. Office & Facilities Operations ? Own the appearance of your space, ensuring it's tidy and presentable at all times Ensure all specific facilities issues are logged and that remedial actions are completed proactively. ? Maintain and develop key information sources, such as internal Google webpages and links to ensure clients always have access to accurate data. Team Collaboration & Performance ? Actively contribute to team huddles, where applicable. ?
