For one of our clients, an international organisation active in the field of sustainable mobility and public transport, we are currently looking for an Executive Assistant
Your main responsibilities will include:
* Daily agenda management and general office coordination
* Administrative support including light accounting, invoicing follow-up and budget assistance for the department
* Supporting internal communication and ensuring smooth coordination between consultants and team members
* Preparing and following up on meetings (drafting agendas, presentations, minutes)
* Planning and organising business trips
* Managing the logistics of conferences, seminars and workshops
* Coordinating publications (reports, newsletters, communications)
* Managing and updating contact databases
* Dispatching EU affairs-related external information (news, events, etc.)
* Providing minor administrative support on selected EU projects
* Handling written correspondence and phone communication
You will also play a key coordinating and federating role within a team of approximately six people who are frequently seconded or travelling. Ensuring alignment, encouraging on-site collaboration when needed, and contributing to a strong team spirit will be an important part of the position.

Profile
* Excellent organisational skills and ability to prioritise effectively
* Strong written and verbal communication skills
* Excellent level of English (written and spoken) and French; any additional EU language is an asset
* Strong proficiency in IT tools (Word, Excel, PowerPoint, Teams, SharePoint, etc.)
* Previous experience in a similar role
* Experience within an international organisation is a strong asset
* Proactive, flexible, diplomatic and solution-oriented mindset
