Position Summary
The Centralized Warranty Analyst is responsible for reviewing, processing, and analyzing warranty claims submitted across a network of service locations or dealerships. This role ensures warranty repairs are compliant with OEM and company policies, identifies trends in warranty usage, and works closely with service departments, vendors, and manufacturers to streamline claims and recover costs efficiently.
Key Responsibilities
* Review and validate submitted warranty claims for accuracy, completeness, and compliance with OEM and internal policies.
* Ensure required documentation (repair orders, photos, diagnostics) supports each claim.
* Submit and track warranty claims to OEMs or vendors, ensuring timely processing and payment.
* Communicate with service departments, technicians, and parts staff to clarify or correct claim details.
* Analyze warranty data to identify trends, high-failure components, or recurring repair issues.
* Monitor warranty claim approval rates, denials, and recovery performance.
* Maintain accurate records of all warranty activity in the warranty management system.
* Collaborate with OEM representatives and vendor contacts to resolve disputes or appeal denied claims.
* Assist with internal audits, compliance reviews, and training of dealership or service center staff on warranty processes.
* Recommend process improvements to reduce errors, improve turnaround time, and increase cost recovery.
* Support centralized warranty policy updates and rollout across all locations.
Qualifications & Skills
* Knowledge of warranty administration processes and systems (e.g., OEM portals, dealer management systems).
* Strong attention to detail and ability to interpret technical repair documentation.
* Proficient in Microsoft Excel, Word, and warranty tracking software.
* Excellent organizational, communication, and analytical skills.
* Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
* Experience with OEM warranty systems.
* Familiarity with fleet maintenance, dealership operations, or service networks.
* Knowledge of parts coding, labor operations, and service manuals.
Education & Experience
* 2–5 years of warranty processing or service administration experience, preferably in automotive, heavy‑duty equipment, or industrial sectors.
* High school diploma or GED required; associate or bachelor’s degree in business, automotive technology, or related field is a plus.
