You will be part of the Global Office as a dedicated resource to the Corporate Affairs team, who are based in countries within Europe and North America and will report into the team Senior Manager. This role is full time, based in Zaventem, Belgium. We are looking for a highly organised and reliable Assistant to provide dedicated support to the Senior Events Manager in the delivery of high-quality corporate events. The role will focus on ensuring the smooth operational and administrative management of events, including logistics coordination, registration management, and supplier communication. The Assistant will work closely with the Senior Events Manager on all aspects of event planning and execution and will provide ad-hoc support to other members of the Events Team when required. This role requires an experienced professional with a keen eye for detail, strong organisational skills, and the ability to work under pressure to ensure the successful delivery of events. The successful candidate will work closely with internal Global Office teams and BDO firms to ensure all logistical and operational elements of the event are in place and executed flawlessly. Key accountabilities Assist in the planning and delivery of corporate events, ensuring operational excellence and attention to detail Coordinate delegates logistics during an event Prepare and maintain event timelines, task lists, and documentation Support the preparation of event materials, briefings, and communications when required Liaise with suppliers, venues, and internal stakeholders as directed by the Senior Events Manager Proficient in configuring and managing event management software systems, such as Cvent, Certain, and RingCentral, to ensure seamless event execution and operational efficiency Manage event registrations and delegates communications Assist with the setup and testing of virtual event platforms Ownership of our Events Centre home page, manage event websites (SharePoint), registration, delegate communication, and post-event follow-up to ensure a positive experience for all involved Provide occasional support to other team members for peak periods or large-scale events Contribute to process improvements and the sharing of best practices within the Events Team Qualifications and Experience Bachelor’s degree in Event Management, Hospitality or a related field (or equivalent professional experience) Desired previous experience in a corporate Event Management space, general administrative support preferably in a corporate or international environment Excellent organisational and time-management skills with great attention to detail Strong written and verbal communication skills in English, with the ability to interact effectively with clients, team member and high-level individuals. Fluency in another European language is an advantage Proficiency with MS Office (Word, Excel, PowerPoint and Outlook) with a high level of expertise in Microsoft Excel, SharePoint and events-related systems (e.g. Cvent) Ability to manage multiple tasks, prioritize effectively, and meet deadlines. Highly collaborative person with the ability to build and maintain strong and effective working relationships with the team and stakeholders, regardless of location Proficiency in Microsoft Office; experience with event management tools (e.g., Cvent, or similar) is an advantage.
