Head of Operations – Asset Management (Permanent Role) Luxembourg - CDI (Full-time job)
About the Role We are supporting a well-established and growing independent asset management group, part of a solid European financial services organisation, in the recruitment of a Head of Operations for its Luxembourg office.
The firm manages over €10bn in assets for private and professional clients across Europe and is recognised for its long-term investment approach, high service standards, and strong operational discipline .
As the business continues to grow, the organisation is strengthening its Luxembourg platform and is looking for a senior Operations leader who can combine operational excellence, people leadership and continuous improvement .
Your Mission Reporting to the Operations Department, you will take full responsibility for the Back Office Operations function and act as a key contributor to the firm's operational strategy.
Your role will be both hands‐on and strategic, with a strong focus on quality, reliability and transformation.
1. Lead & Develop the Operations Team Manage, coach and develop a team of 10 experienced Operations professionals
Create a positive, structured and engaging working environment that encourages ownership and collaboration
Support the professional development of team members and build a strong succession mindset
2. Ensure Operational Excellence You will oversee all daily Back Office activities, ensuring accuracy, timeliness and high service quality across:
Securities settlement and delivery
Cash and securities reconciliations
Reference and static data management (instruments, counterparties, custodians)
Corporate Actions processing and monitoring
Operational controls, regulatory reporting and data quality checks
You will act as the final escalation point for complex operational issues and ensure swift and pragmatic resolution.
3. Drive Process Improvement & Transformation Translate the company's strategic objectives into concrete operational initiatives
Review, optimise and document processes, procedures and work instructions
Identify opportunities to automate, industrialise and simplify operational flows
Lead preventive and corrective actions to reduce operational risk and increase efficiency
Adapt the organisation and workflows to support the growth of assets under management
4. Governance, Risk & External Oversight Ensure full compliance with internal policies and external regulatory requirements
Coordinate and lead internal and external audits
Manage service reviews with custodian banks and key operational partners
Contribute to a strong operational risk and control framework
5. Act as a Key Internal Partner Serve as the main point of contact for internal stakeholders (Front Office, Risk, Compliance, Finance)
Ensure smooth communication and collaboration across departments
Promote a culture of transparency, problem‐solving and continuous improvement
Your Profile Experience & Expertise University degree in Finance, Economics, Audit or equivalent experience
5+ years' experience in a senior Operations role (Head or Deputy Head of Back Office) within:
an asset management company, or
a private or investment bank
Strong hands‐on expertise in:
Cash & securities operations
Settlement & reconciliation
Corporate Actions
Good knowledge of tax regimes applicable to securities, including:
withholding tax, QI rules, financial transaction taxes (e.g. TOB)
Luxembourg, Belgian and Dutch markets
Leadership & Mindset Proven people manager and recognised team leader
Pragmatic, hands‐on and solution‐oriented approach
Strong organisational, analytical and communication skills
Comfortable driving change and managing operational projects
Languages & Systems Fluent in French and English
Luxembourgish and/or Dutch is a strong asset
Very good command of banking systems and operational tools
