Position OverviewThe Executive Assistant (EA) provides high‐level administrative and strategic support to senior executives, enabling them to operate efficiently, prioritize effectively, and focus on organizational priorities. This role requires exceptional organizational skills, proactive thinking, strong communication abilities, and the highest level of discretion.
Key ResponsibilitiesExecutive SupportManage complex calendars, scheduling, and meeting coordination, ensuring optimal time management and prioritization.Prepare executive briefings, meeting agendas, presentations, and follow‐up actions.Handle confidential and sensitive information with professionalism and discretion.Anticipate executive needs and proactively resolve issues before they arise.Communication & CoordinationServe as the primary point of contact between the executive and internal/external stakeholders.Draft, review, and manage correspondence, reports, and documentation on behalf of the executive.Coordinate communication flows, ensuring timely and accurate dissemination of information.Logistics & OperationsOrganize domestic and international travel, including itineraries, accommodations, and expense reporting.Plan and support internal and external events, workshops, offsites, and leadership meetings.Ensure operational efficiency by managing administrative processes and optimizing workflows.Project & Strategic SupportAssist in driving executive priorities, strategic initiatives, and special projects.Conduct research, prepare insights, and support decision‐making with high‐quality information.Track milestones and deliverables, ensuring deadlines and commitments are met.
Qualifications & SkillsExperienceProven experience as an Executive Assistant or in a comparable support role, ideally supporting C‐level executives.Experience in fast‐paced, matrixed, or global organizations is a strong advantage.Core SkillsExceptional organizational and time‐management skills.Outstanding written and verbal communication skills.Strong problem-solving abilities and the capacity to work independently.High degree of professionalism, confidentiality, and sound judgment.Proficiency in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, OneNote), and collaboration tools.Personal AttributesProactive, resourceful, and solutions‐oriented.Calm under pressure and able to manage competing priorities.Strong interpersonal skills with the ability to work effectively across teams and cultures.Detail-oriented while maintaining a strategic perspective.
EducationBachelor's degree preferred, or equivalent practical experience.
