Administrative assistant

Your role

As Administrative Assistant in our Benelux office, you will provide vital business support for compliance processes, vendor coordination, and administrative efficiency. You will play a key role in ensuring accurate documentation, handling event approvals, and maintaining compliance with medical regulations. This position offers a collaborative environment in a small, dedicated team serving the Benelux region.



Primary work tasks:

* Create purchase orders and process invoices in SAP.
* Ensure medical event compliance in Veeva CRM and Approved Activity Plan (AAP) for Benelux.
* Keep templates and documentation aligned with current regulations.
* Support GDPR requirements and maintain data protection compliance.
* Organize and facilitate events, congresses, and vendor coordination.



Additional tasks:

You will also make payments to doctors and healthcare organisations, and create ID numbers for new contacts in our system, assist in drafting and reviewing contracts, handle compliance deviations, and support uploads for disclosure reporting. Training will be provided to help you learn the systems and processes, including Veeva Events and tools in Pulse.



Your qualifications

You have a strong foundation in administration and compliance, with the ability to manage documentation and work processes accurately. You will learn all our systems on the job, and we provide full technical guidance, so you do not need to know any particular software in advance.


Educational requirements/experience:

* Secondary school diploma (minimum qualification).
* Excellent knowledge of Dutch and English and French .
* Proficiency in Microsoft Office (especially Excel).
* Experience with CRM systems (Salesforce) and SAP is advantageous.
* High level of attention to detail and accuracy in work.



As a person you are detail-oriented, reliable, and adaptable, with strong communication skills to interact effectively with internal and external stakeholders. Negotiation skills and willingness to learn new tools and processes will help you succeed in this role.



Your new team

You will join a small, close-knit team in Lier covering the entire Benelux market. The office operates with a collaborative culture, working closely with marketing, sales, and other administrative colleagues. You’ll be based at the office on Mondays and Tuesdays – and on other days if meetings are requiring your attendance - with a probationary period of six months, during which we will provide full training on our systems and compliance procedures.
