The role
The Council of the Notariat of the European Union (CNUE) has the mission of representing, bringing together and strengthening its members.
As Office Manager, you are the first point of contact for visitors and members, ensuring a warm and professional welcome that reflects the values of the organisation. In this role, you support the smooth daily functioning of the office by coordinating communication, facilitating internal information flow, and contributing to a positive and well‑organised work environment.

The content
As Office Manager, you will play a central role in ensuring the smooth and professional functioning of the CNUE's daily operations. Your responsibilities will include:
* Managing correspondence and documentation, including incoming mail, general email inbox, phone calls, filing, dispatching and following up on requests.
* Ensuring accurate data and contact management and maintaining up‑to‑date administrative records.
* Preparing and organising meetings and events, both internal and external.
* Supporting basic accounting tasks, such as encoding invoices, processing payments, handling travel reimbursements, maintaining financial and administrative inventories.
* Liaising with CNUE's suppliers and service providers to ensure smooth cooperation and timely service delivery.
* Organising business travel, including planning and booking arrangements.
* Providing administrative HR support.
* Facilitating communication with CNUE members, European institutions and associations, in both English and French.
* Supporting communication activities, including uploading documents to the intranet and updating website and social media content.
* Assisting the Secretary General and the team, contributing to a collaborative and efficient working atmosphere.
Our ideal candidate
We are looking for a proactive and organised professional with a mix of administrative experience, strong organisational skills and proficiency in office software/applications.
The ideal candidate will bring:
* Relevant qualification such as a bachelor's degree in office management, administration or any other relevant diploma.
* Minimum 3 years of experience in a similar administrative or office management role.
* Excellent communication skills in English and French, both written and spoken.
* Solid command of MS Office tools (Word, Excel, PowerPoint, Outlook) and confidence working with IT tools. Interest in AI is a plus.
* Strong organisational skills, with the ability to prioritise tasks, manage multiple deadlines and maintain a structured workflow.
* A reliable, meticulous and proactive mindset, with a sense of responsibility and attention to detail.
* Excellent interpersonal skills, a collaborative and positive attitude, enabling effective teamwork within a multicultural and dynamic environment.
