About the job

As a Project Planner, you are the central link in our organization. You know how to switch gears quickly and enjoy solving complex scheduling puzzles. Working in a dynamic and sometimes hectic environment energizes you — you remain calm and focused, ensuring the right receptionists are placed in the right locations.
You have strong organizational skills and know how to balance client priorities while keeping employees at the heart of what you do. With your excellent communication skills, you ensure smooth coordination between clients, teams, and colleagues. You can handle pressure, think in solutions, and set the right priorities.

In short: you are the connecting force between quality, continuity, and employee satisfaction.

Your main responsibilities include:
6. Ensuring continuous and reliable reception coverage at all times — service continuity is your top priority.
7. Managing a flexible pool of receptionists to cover absences due to illness, holidays, or unforeseen circumstances.
8. Keeping the planning system accurate and up to date, swiftly finding replacements from the flying pool when needed.
9. Contacting available team members, confirming shifts, and proactively seeking alternative solutions when necessary.
10. Clearly communicating schedule updates and changes to the internal team.
11. Working in close coordination with the Business Partner, who serves as the main point of contact for clients.

About the ideal candidate

12. Excellent organizational skills and able to work well under pressure.
13. Flexible and hands-on, with the ability to react quickly to unexpected changes.
14. Fluent in Dutch, French and English.
15. Professionally presented
16. Strong communication skills, both verbal and written.
17. Experience in planning, coordination or staffing is a strong plus.
18. Straightforward, pragmatic and not afraid to take initiative or push where needed.
