We are seeking a highly capable and proactive
Assistant
to provide best‑in‑class support to senior managers in a fast‑paced, global environment. This role is ideal for an experienced administrative professional who thrives on enabling leadership, anticipating needs, managing complex priorities, and ensuring operational excellence.
You will act as a trusted partner to your managers—driving efficiency, fostering strong communication, and supporting delivery of key initiatives across the organisation.
Key Responsibilities
Executive & Administrative Support
* Manage complex calendars, appointments, and high‑volume correspondence
* Prepare high‑quality presentations, reports, and confidential documents
* Arrange detailed international travel plans, itineraries, and meeting documentation
* Serve as a professional point of contact on behalf of the managers
Meeting & Event Coordination
* Organise internal and external meetings, including logistics, agendas, and technical support
* Take accurate meeting minutes and track follow‑ups and action items
* Support planning of team events, off‑sites, and engagement activities
Information & Workflow Management
* Act as a liaison within the department and across stakeholders
* Prioritise incoming issues and requests and determine appropriate responses
* Maintain organised digital filing and collaboration spaces (Teams, OneDrive, SharePoint)
Budget & Expense Administration
* Monitor departmental budget and cost centres
* Manage purchase orders, vendor invoicing, and expense report submissions
Project Coordination
* Support delivery of manager‑led projects and communications plans
* Assist in tracking milestones, preparing materials, and coordinating deliverables
Team & Network Collaboration
* Engage with assistants across locations to ensure consistent support standards
* Provide onboarding assistance for new team members
Confidentiality & Business Awareness
* Handle sensitive information with discretion
* Stay informed on team priorities, anticipating needs and identifying opportunities to improve efficiency
Requirements
Experience & Skills
* Minimum
5 years' experience
as an Executive or Senior Administrative Assistant
* Exceptional planning, organisational, and multitasking skills
* Strong communication, interpersonal, and relationship‑building skills
* Advanced proficiency in PowerPoint, Excel, Word and ability to adapt quickly to new tools
* Ability to manage conflicting priorities and work under deadline pressure
* High attention to detail, proactive mindset, and strong problem‑solving ability
* Demonstrated ability to maintain confidentiality and handle sensitive information
* Positive attitude, resilience, and strong teamwork orientation
Education
* Bachelor's degree required
