Phoenix PSF and DM Financial
DM Financial recently acquired Phoenix PSF S.A. a specialist provider of accounting, domiciliation, corporate secretarial and administrative services to investment entities. Phoenix PSF is regulated by the Commission de Surveillance du Secteur Financier (CSSF) as a Professional of the Financial Sector (PSF). In joining DMF, Phoenix will further enhance its service offering to existing and new customers.
About the Role
As a Junior Administrative Assistant, you are at the beginning of your professional journey and eager to discover the fund industry and broader financial services sector. This role will introduce you to key areas of DM Luxembourg’s business, with a particular focus on Registrar and Transfer Agency.
You will be part of a supportive team managing a client portfolio, giving you the opportunity to develop the skills and experience required in Luxembourg’s dynamic fund environment. To further broaden your exposure, you will also assist the Domiciliary Services team during quieter periods of the Funds service line. This is an ideal entry-level position for someone looking to grow their knowledge and develop a strong foundation in the industry. Your responsibilities will include:
* TA & Compliance - Core role
Assisting with the collection, analysis, verification, and maintenance of AML/KYC (Anti-Money Laundering/Know Your Customer) documentation for clients and investors, participating in investor onboarding and ongoing due diligence in line with company procedures, preparing various working documents such as reports and spreadsheets, and maintaining accurate filing both physically and electronically through a document management system.
* Administration
Preparing bank instructions and managing communications related to payments, assisting with the preparation of working documents (Word documents and Excel spreadsheets), filing via a document management system, and office management duties such as answering telephone calls, handling daily mail, and preparing the boardroom for meetings.
* Domiciliary Accounting
Assisting in maintaining day-to-day accounting records of client companies, supporting monthly, quarterly, and annual financial reporting in Lux GAAP or IFRS, and assisting with the preparation of VAT returns and Corporate Income Tax returns.
Who are you?
You have a “can-do” attitude. You are eager to learn and are ambitious to develop professionally, potentially through obtaining a relevant qualification in the financial or domiciliary services sector. You demonstrate initiative, are flexible and proactive, always able to adapt to changing priorities in a fast moving environment. You are results-oriented, always striving to deliver high-quality work and meet deadlines. Excellent communication and teamwork skills come naturally to you, and you have a client-focused mindset, understanding the importance of maintaining strong relationships with clients and colleagues alike. Additionally, you have knowledge of Luxembourg legislation, which helps you navigate the regulatory environment effectively. You speak English fluently; French or German is a plus
You have:
* A higher education degree (Bachelor, Master or equivalent) in Accounting or Finance
* 0 – 1 years relevant work experience
