Description:
1. Finance Administration (60%)
* Support the Finance and Administration Director with the financial administration and compliance of the organisation.
* Prepare, record, monitor, and file financial transactions and budgets.
* Assist in preparing financial documentation for audits.
* Compile financial documents for grant applications and donor reporting (including the European Commission and other funders).
* Process and follow up on invoices from members and suppliers in line with internal finance policies and legal requirements.
* Check and process staff and member expense claims.
* Handle online purchases and payments.
* Support colleagues in implementing effective and ethical procurement processes.
2. Human Resources Administration (20%)
* Support the Finance and Administration Director in HR-related administrative tasks.
* Assist with payroll, timesheets, extra-legal benefits, and insurances.
* Maintain and organise employment and internship contracts and related documentation.
3. Office Administration (20%)
* Manage the organisation's IT equipment, online systems, and inventory.
* Support the implementation of efficient data protection procedures and policies.
* Oversee ordering and maintaining office supplies, liaising with external providers when necessary.
* Provide general administrative support, including filing and documentation.
* Contribute to the smooth daily operations of the office.
Profil
* Minimum 3 years of progressive experience in Accounting, Finance, Administration, or HR support.
* Proven financial literacy and experience with payment processing, audits, and financial documentation.
* Familiarity with payroll procedures and external payroll providers.
* Strong IT skills, especially Microsoft Office and online collaboration tools.
* Excellent organizational and time management skills.
* Strong communication and interpersonal abilities, with a professional and diplomatic attitude.
* Full professional fluency in French and English (spoken and written).
* Knowledge of Winbooks and Isabel.
* Experience with Officient (Securex) is an asset.
* Diploma in Finance, Accounting, or Management, or equivalent professional experience.
* Resourceful, proactive, and solutions-oriented mindset.
