Position: Assistant, Projects & Operations


Hybrid role, must live a commutable distance to our Zaventem office


Play an integral part in our day to day operations, including providing support to members of the Global A&A team and rising to the challenge to solve problems when issues arise.


Key accountabilities


* Support the Operations Manager and wider team on day to day delegated tasks.
* Assist with building publications identifying improvements in the layout, structure, and accessibility.
* Use MS Office applications and BDO templates to draft memos, prepare documents (timelines, agendas, minutes, etc.,) and develop presentations following BDO Corporate Visual Identify (CVI) guidelines.
* Pro-actively contribute to the maintenance/update of our databases/lists/IT systems relevant for the Department. This entails timely and accurate filing, reporting and system updates as well as engaging with colleagues in our firms across the world.
* Input and maintain content for various departmental intranet sites on our SharePoint platform – this will include uploading and publishing items (such as technical content, news articles, contact lists, inserting links between different resources, etc.,), considering how users will interact with the information and identifying potential future improvements.
* Oversee generic mailboxes, organise, dispatch and respond to enquiries from our colleagues in national firms.
* Assist in development of online training materials, uploading training content, maintenance of our library of content, support certification processes for users in different countries and monitoring the completion of training activities for Global initiatives.
* Archive documents, materials, update systems and protect personal data according to our Global Office policies and procedures.
* Develop, design, launch and track surveys on a variety of topics.
* Plan and review scheduled meetings, re-evaluate priorities, and modify previously scheduled appointments within various calendars.
* Support management during organisation of meetings and events (online webinars, conferences).


Qualifications, Experience, Skills


* Strong written communication skills, including excellent command of English, both spoken and written.
* Administrative or other relevant prior experience of working in a team environment
* Advanced level of proficiency with MS Office applications (Word, Excel, PowerPoint, Outlook and Teams)
* Willingness to learn new skills.
* In addition, prior experience or ability to use Adobe InDesign (Adobe Photoshop, Illustrator) would be beneficial but training will be provided if need be.
* Excellent organisational skills with a strong focus on attention to detail
* Ability to work towards tight deadlines, handle sensitive/confidential information with care and prioritise workload
* Ability to work in a busy, innovative environment without being distracted or diverted
* Methodical, thorough approach to routine tasks demonstrating awareness that all tasks, even if they are routine, contribute to the collective success of the Global Assurance Team
* Ability to work independently and within a team setting with a desire to work with colleagues based across different countries. Some flexibility will be required on occasion for working with team members in different time zones
* Seeks opportunities to expand role, demonstrates initiative and offers to take on additional responsibilities
* Strong interpersonal skills, including a good sense of humour, creative/curious mindset, a ‘can do’ attitude and proactive in helping colleagues.
